Annual Meeting of the Membership and 2019 Elections

The Annual Meeting of the Membership will be held on Saturday, November 17, 2018, at 12:00 noon (note earlier time) at:

At the Annual Meeting of the Membership, elections will be held for the following positions:

This meeting is open to public attendance. Voting is open to Altonimbus Entertainment Members (Kumoricon staff).

Members must be present in person to vote, except for proxy voting. If you are a Member of Altonimbus Entertainment but cannot attend the meeting, you may designate another Member as your proxy. This means that the Member you designate as your proxy is authorized to cast your vote in your stead for any election or matter that comes before the membership for a particular meeting. A Member may only act as a proxy for no more than two other Members for a particular vote. You may authorize a proxy in either of two ways: (1) The Member not attending the meeting may authorize another Member using the online proxy authorization system, or (2) The proxy attending the meeting may bring a printed form to the meeting signed by the absent Member. Only one or the other is required, not both. The full proxy policy is printed on the authorization form.

There is a more detailed elections process document available to staff members (staff login required) detailing the elections meeting policy and procedure. We encourage interested staff to review it. A summary of the elections procedure is publicly available. Nominations are open on the forum or by emailing secretary@kumoricon.org until November 14, 11:59pm. You may ask questions to candidates in the respective candidate Q&A threads for each position. There is also an anonymous question and comment process, which is still being finalized. [Update, November 11: This process is now available.]

Please note that the meeting starts earlier than normal, at 12:00 noon, to provide enough time for all the elections.

A note on the meeting agenda: At the October meeting, we announced that we would be presenting an amended version of the bylaws for a vote at the Annual Meeting. This process took longer than expected and is being postponed, so no bylaws vote will occur at the November 17 meeting. This will happen at a later date when there is adequate time to present the text in advance to the membership.

End of Convention Announcements and 2019 Dates

We are very pleased to announce that Kumoricon 2019 will take place on November 15-17, 2019, at the Oregon Convention Center!

Guidebook App Now Available

The Kumoricon 2018 guide is now available in the Guidebook app!

This free app for Android and iOS contains a live-updating Kumoricon schedule, maps, photos, convention information, announcements, and more. Mark events to create a personalized schedule with reminders. The entire guide is downloaded in advance, so it works offline if you can’t get reception.

KumoriBall: A Royal Gala

Come One, Come All,

You are hereby cordially invited to the 2018 KumoriBall: A Royal Gala! Kings, Queens, Elves, Rogues, Wizards, and Warriors, get your dance shoes ready and prepare to waltz your way through an elegant evening. We hope you all will join us for a majestic time!

The dress code will be enforced, so please review the full dress code for guidelines and restrictions. Please be prepared; those not meeting the dress code will be turned away at the door.

Renovation at the Convention Center

We wanted to update you on a recent development at our venue, the Oregon Convention Center. With the construction of the Hyatt (the construction across the street by the MAX station) well underway, the OCC is renovating and updating its look to complement the new hotel!

On that note, please be aware that a significant amount of the convention center will be under renovation during Kumoricon 2018 and will affect some of the areas utilized by our event and our attendees. No official Kumoricon events will be eliminated or reduced in size. However, some areas will be re-arranged or affected by the construction:

  • Pre-Function A Lobby
  • Pre-Function B Lobby
  • Holladay Lobby and Entrance
  • Registration
  • Gaming
  • Main Events
  • Panel Rooms in pods A and B
  • Lobby A and C Restrooms
  • The following Photoshoot/Meetup locations:

The images below illustrate the areas that will be affected and inaccessible to attendees. We understand that this will inconvenience a great many of our attendees and we are working with the OCC to proactively resolve a significant number of concerns.

This year, due to the stress that can be induced by the presence of construction, we are introducing the AFK room (Away from Kumo)—a quiet space for attendees needing a relief from stress and over-stimulation. Official room rules will be announced later, but the purpose of this room is to be a quiet room where no phone calls, music, conversation, or anything producing sound will be allowed.

Q&A

How will this affect my attendee experience?

We are working with the OCC to minimize the effect on our attendees’ experiences at Kumoricon. No panel rooms or event spaces (with the exception of the photoshoot locations) are being removed or cancelled, just slightly rearranged and minorly inconvenienced.

Please be sure to review the updated map when planning your con itinerary.

Where can I enter the OCC?

Attendees may enter through the MLK Lobby Entrance, the Ginkoberry Concourse Entrance, or the parking garage entrances. The Holladay Lobby by the MAX station on Holladay Street will be under renovation at that time and will not be accessible. The sidewalk from the MAX station on Holladay Street to the MLK Lobby Entrance will be open—look for the signs!

How do I get to the panel rooms in A and B?

A corridor will be constructed to allow attendees to access panels in Lobbies A and B. Lines for panels in those pods will be arranged in the corresponding lobbies (e.g. attendees for panels in the B-pod will line up in Lobby B). The access corridor will be narrow, so attendees will need to plan additional time to travel to those rooms.

How do I get to Main Events and Gaming?

Gaming and Main Events will be moved to Hall A and A1 (see updated map). To access them, attendees will need to walk through Registration (Hall B). Look for the large entry sign in Registration / Lobby C for direction!

What restrooms can I use on the first level?

The Lobby A and C restrooms will be closed. There are restrooms on the first floor in Registration (Hall B), Gaming (Hall A), and the KumoriMarket (Hall C). Restrooms in Registration (Hall B) are designated as gender-neutral.

Can I use the elevators?

Areas around the first floor elevators will be under construction during con, but will be made accessible to attendees during Kumoricon. As in previous years, we ask that OCC elevator use remain reserved for attendees with accessibility needs, attendees with strollers, and other staff who have received approved access.

How will this affect ADA / Accessibility?

With the access corridors to panel rooms in pods A and B being narrow, we encourage all attendees to plan additional travel time to get to those rooms. As in previous years, we ask that OCC elevator use remain reserved for attendees with accessibility needs, attendees with strollers, and other staff who have received approved access.

We ask for attendees to be conscious and accommodating of their fellow attendees who are needing accessibility accommodations. We are all fans and we all want to have a good time at Kumoricon.

How will this affect Photoshoots and Meetups?

Photoshoots originally scheduled for the following areas will be affected: the Holladay Lobby, Pre-Function A Lobby, Ballroom Lobby, and most of the “outside OCC” locations. Individuals who have submitted a photoshoot or meetup will be emailed alerting them to the construction and will need to update their scheduled photoshoot(s) with the link included in their confirmation email. The following locations have been added to the list of options for photoshoot/meetup locations:

  • OCC – Ginkoberry Concourse, Smart Energy Cow
  • OCC – Ginkoberry Concourse, Under Ginkoberry Gwa Sculpture
  • Outside OCC – Essential Forces (fountain in front of Moda Center)
  • Outside OCC – Ulsan Bell of Sisterhood (bell in front of Holladay Lobby)
  • Outside OCC – Holladay Park (across the street from the DoubleTree)

We apologize for the short notice and understand that this will inconvenience a great many of our attendees. We are working with the OCC to limit the effect. We want everyone to have an amazing time at Kumoricon this year and we look forward to see you all there.

We have a new photoshoot submission form! If you’d like to host a photoshoot or cosplay meet-up, please submit it using our form. Please note that photoshoots are listed for attendee convenience, and are not part of official programming or run by Kumoricon.

The photoshoot and cosplay meet-up schedule will be included in the Guidebook app, as well as the photoshoots page. (Due to the many changes that occur after print time, the photoshoot schedule is not included in our print materials.)

Updates and Clarifications to Code of Conduct Change

Last weekend we posted an update to our code of conduct that received a lot of vocal feedback. We want to let you know that we hear and see your comments, concerns, and frustrations. As an event that prides itself on being inclusive, the code of conduct change was born out of the desire to revise all of Kumoricon’s policies that affected our attendees based on their gender identity. For 15 years, our previous policy forced staff to make judgment calls on what was a breach of policy based on attendee gender presentation. That should not be the case and we are sorry that this was not addressed sooner.

We want to acknowledge that the recent policy change needs to be clearer and we hope the new image and policy wording provided clears up many of your concerns. We believe this update more accurately depicts our original intent, and we used your feedback to help us determine the best way to express that.

The recent update to our code of conduct changed only one small, but very important, part of our rules. Previously, our coverage rules had a separate diagram and coverage requirement for females, and one for males. The change that we made last weekend erased any differentiation of gender. It was not our intent to make any other changes to our coverage rules or enforcement. After the announcement of this change, we received many questions about particular costumes, as well as questions about existing sections of the code of conduct. Today, we have updated the visual coverage diagram to be more clear, and rewritten a few additional sentences in the code of conduct to help provide some important clarifications.

With this new wording, can you clear up some of our concerns about cosplays like Gray Fullbuster or the Attack on Titan bodysuit cosplays?

It was not our intent to hinder these cosplays to the point that they could not be worn. Gray has a jacket that can be worn over the chest meeting the minimum coverage policy, and it can be removed outside of convention space for photos. The Titan bodysuit was always intended to be allowed, because it has opaque cloth covering all appropriate areas, and we updated our wording to help clarify this point. However, any bodysuit that is so tight that it reveals details of genitalia will not be allowed. We suggest using a dance belt to assist in these cases.

Why are you implementing this now? Have there been incidents?

We made this change due to feedback from attendees, suggestions from members of our community, consulting the policies of other anime conventions, as well as concerns raised by staff and concerns brought to staff. We are not aware of any previous incidents arising from gender identity issues when enforcing the coverage policy, but we wanted to act before it occurred.

Why do you even have a dress code?

We’ve always had a dress code for health and safety reasons. We’ve just recently acknowledged that our previous policy was unequal and based on gender, so this year we moved to be consistent with our mission to create a safe and welcoming environment for all our attendees.

Oregon law does not prohibit being shirtless. Why do my breasts have to be covered?

While Oregon law does not prohibit being topless; cities, venues, and events may set their own rules and restrictions. Because we have had a minimal coverage policy already in place, and our venues do request minimal coverage, so we have maintained this policy, but have adapted to make it equal for all attendees. We want to ensure Kumoricon is consistent with its standard of inclusivity and equality while maintaining our respect for all persons in attendance.

No other cons do this.

Quite a few cons have or are moving toward becoming gender-neutral. Colorado Anime Fest, San Japan, and Naka-Kon are just a few examples of conventions that have adopted (or started out with) a gender-neutral policy that inspired the image we are now using to illustrate our coverage policy. After feedback from attendees and staff who felt the old policy was unequal to impose, we resolved to change the policy.

Why’d you make this about Pride?

We decided to announce and promote this change during Pride Month to show our support for our friends, family, attendees, guests, and staff because not everyone conforms to or presents a specific gender. We believe this change to be an important step for our event and to acknowledge those attendees that have felt excluded from our event because of that policy.

Why are you trying to make everything kid-friendly / family-friendly?

Kumoricon has always considered itself to be an all-ages event. We always hope to encourage and support our attendees coming together in a welcoming, safe, and accepting environment where they can celebrate what they love: anime, gaming, and Japanese culture. However, we would like to be conscious of the age demographics that attend our event and not create an environment where people would not feel welcome.

Why did you delete the original post?

With the way social media works, there’s a higher chance for miscommunication and misunderstanding. We would like to reduce the amount of confusion the previous post would cause as its content is now, outdated with inaccurate information.

We acknowledge that some of our official social media comments posted in response to many of your inquiries on the original post had some inconsistencies. This presentation is the product of your requests for clarification. Thank you for helping us expand our policies to be clearer.

Update to Convention Code of Conduct

In honor of the conclusion of Pride Month, we’re updating our cosplay and clothing coverage policy for Kumoricon (and Kumoricon Lite). In an effort to be inclusive to our entire community, we’ve updated our coverage policy to be gender-neutral. Our previous policy differentiated coverage rules based on gender identification (male or female). The new policy applies the same coverage rules to everyone, regardless of gender. Check out our revised code of conduct for more information.

Follow-Up Questions and Clarifications for New Autographs Process

We wanted to follow up on yesterday’s announcement about Kumoricon’s new guest autographs procedure. We received a lot of questions and feedback about this process, and wanted to clarify in more detail why we are doing it. While it is impossible to make everyone happy, this policy reflects years of research to try and proactively solve past problems. We know this is very different from what we’ve done before and can seem complicated. We’d like to address some concerns and explain why we reached the decisions we did.

In short:

We received significant criticism in previous years. The new autographs policy is focused on resolving the following issues:

  • Last year, we had an issue where we had to cap a line 1 minute after it opened. We designed this new policy to prevent that.
  • People were actively hovering around the area despite numerous staff diligently attempting to disperse crowds. At some point, the majority won over the minority, though staff tried their best. Beyond the question of fairness, there was an issue of safety and violating venue rules for space. Our new policy ensures there is no possible benefit from “hovering” or “camping”. People missed out on seeing more of the con because they were waiting around for autographs instead.
  • We are still learning how to better utilize the space we have—and where our limitations are.

Here is how we hope to fix that:

All autograph sessions require advance passes, which will be distributed by random drawing two hours in advance of each scheduled time. There is no pass distribution at the autograph session. To prevent crowding, every drawing line is open for 30 minutes, and everyone in line has an equal chance of drawing a pass.

Passes and autograph sessions are not located in the same area of the venue. If you successfully draw a pass, you are free to head to that specific autograph session at any point during its scheduled time. There is no longer a need to linger and wait for the signing.

Please be aware that tickets are non-transferable once they are acquired. Badge numbers or your name on your photo ID will be matched with winning passes to prevent reselling winning passes. The full process is detailed on our Autograph Passes page.

Important clarifications

The number of autographs that guests sign is not changing from previous years and might even increase.

For several years, we’ve observed that guests can sign autographs for about 80 to 120 attendees per 90-minute session. We know that number can sound low, but we ask that you think of that in terms of time per person. We are keeping that number the same, with 80 passes, and 40 waitlist passes, per session. The only thing that is changing is how we distribute entry.

For many autograph sessions, your odds will be better than you think.

When you hear “random drawing”, things come to mind like winning a rare prize in a lottery or a ticket raffle. However, for some of our signing sessions, most attendees in line are likely to draw a winning pass. Also, the majority of our guests have at least two signing sessions, and some have three, which further increases your chances. Some guests will also have tables in the Exhibits Hall for even more autograph opportunities.

What is wrong with having a first-come, first-served line?

Due to restrictions of our venue and the amount of venue space available, we cannot keep a long line in place for several hours due to availability of space, venue safety, and the number of sessions scheduled.

Why can’t we pay for a guaranteed pass for a signing session?

Kumoricon, like most anime cons, has made the long-term decision to make almost all convention programming included with the cost of a badge, except when food or drink is served or supplies are consumed. We do try to serve a variety of interests among attendees with our very limited, long-time VIP program offering a dedicated autograph session among other carefully curated perks. But even so, we limit the availability of those to ensure good experiences for VIP and non-VIP alike.

For 2018, the decision is already out of our hands due to contractual agreements with our guests. However, we are continuing to listen to feedback on this for the future.

At comic cons where guests charge for signings, the convention usually must financially guarantee a certain number of autographs sold. This is not Kumoricon’s model, nor that of most other anime cons in the country. While Kumoricon and other anime cons may someday have to move toward the comic con model, where conventions sell access to guest autographs, it is not this day.

Why can’t we sign up for an autograph session online or during registration?

We wanted to have a system that allows both pre-registered attendees and at-the-door attendees to have a fair chance, and that does not rely on needing to email or text attendees at the convention to see if they won a drawing.

Is Kumoricon considering feedback from attendees in deciding what autograph system to use?

Absolutely! This new policy grew out of feedback from attendees and guests. After the 2017 con, we received a large amount of feedback about our first-come, first-served system, and it became clear that we needed to try a different system for 2018. Before designing our new random drawing system, we reviewed a large number of possibilities, taking into account limitations of our available venue space for standing lines, the number of staff needing to run each system, and the ability to provide fair chances to all of our attendees.

After the 2018 con, we will see how this new system does, consider feedback from attendees, and decide whether to repeat it or to try something new. After the convention, we would love for you to attend our Rant and Rave panel, or email us at autographs@kumoricon.org.

Changes to Guest Autographs

After Kumoricon 2017, we received an overwhelming amount of feedback leading us to change how we handle autographs. As a result, Kumoricon is launching a new system for autographs for 2018!

Starting with Kumoricon 2018, all autograph sessions require an advance pass, which will be distributed by random drawing two hours in advance. There will be no pass distribution at the autograph session. Please see the full policies and Q&A section for full details.

Exhibits Hall, Artist Alley, and Small Press Applications Are Open

Applications are now open for the Exhibits Hall, Artist Alley, and Small Press!

The Exhibits Hall provides space to retailers and other dealers selling a wide range of goods at the convention.

The Artist Alley welcomes amateur and professional artists to showcase their work and original merchandise. Artist Alley merchandise traditionally includes fan art prints, manga, models, paintings, and novelty crafts, but is limited only by your imagination.

The Small Press welcomes freelance artists and creators by providing space to sell their personal works at the convention. Kumoricon defines the Small Press section as independently-developed artist businesses featuring original content. This includes companies that focus on fashion apparel, tabletop games, webcomics, plushies, and much more!
