December 2022

Applications for Secretary and Treasurer [Updated]

Update, January 2: The annual board meeting has been scheduled for Sunday, January 8, at 8:30pm PST.

We would like to formally solicit applications for the two board-elected members that will sit on the board of directors for the 2023 convention year:

Secretary: Duties include keeping a record of the minutes of each board and membership meeting, handling Kumoricon’s correspondence as necessary, focus on policies and procedures, staff development and training, and giving notices for membership and board meetings.

Treasurer: Duties include collecting dues, maintaining the organization’s financial records, delivering financial reports annually or when requested by the board, and maintaining the organization’s banking and bank accounts.

Duties for both involve attending membership and board meetings and helping the board operate as a company.

These positions will be voted upon by the seven member-elected directors: Chair, Director of Infrastructure, Director of Membership, Director of Operations, Director of Programming, Director of Publicity, and Director of Relations.

To apply, please email a brief application to board.elected@kumoricon.org explaining what you believe you would bring to the position. Please include your previous convention work, as well as any other information you would like to present such as an informal resume.

These positions will be elected at the annual meeting of the board (date and time to be determined) on Sunday, January 8, at 8:30pm PST.

Please send your applications as soon as possible. Applications received on the last day (once a date has been announced) may not receive as much consideration as those received earlier. During this time, we may attempt to contact you to ask interview questions.

Applications will be acknowledged by email upon receipt. If you do not receive an acknowledgment within 24 hours, please attempt getting in contact in an alternate manner to make sure it was received.

This is not a formal nomination process; the board may elect anyone it chooses, including people not on the public suggestion list. You do not need to be listed publicly as a suggestion to apply.

Addressing a Concern About Elections Q&A

Hello, Kumo Fam,

On December 11, 2022, Kumoricon held its annual meeting of the membership which concluded with the live portion of our Q&A for membership-elected positions. During these elections, anonymous questions were asked during the Programming Q&A. These questions should not have been read during the election process as they clearly violated the following policy:

“Anonymous comments must be sponsored. Any member of the comment panel may volunteer to sponsor a submitted statement and read it anonymously. Sponsorship does not imply full agreement, but rather is a recognition that there is some value in reading the statement, and the sponsor may be challenged for the content of the statement. In deciding whether to sponsor a statement, the panel should consider whether factual claims are not sufficiently substantiated, whether the statement is excessively vitriolic, and whether the statement contains irrelevant or private details. The panel may require the submitter to amend the statement.”

Our Staff and Attendee Services team is aware of this misconduct and will be working with the elections team and affected staff to determine why this was allowed to pass and how to prevent repeats of this situation in the future. The board would like to make it known though that this has happened and we would like to apologize.

We appreciate all of our staff, and want to promote productive dialogue during an election that questions and criticizes behaviors without resorting to attacking the character of our colleagues. This situation highlights that we still have work to do, and we are dedicated to making sure all of our staff feel supported, welcome, and included on our team.

November 2022

Annual Meeting of the Membership and Elections

The annual meeting of the membership will take place on Sunday, December 11, 2022, at 12:00 noon. The meeting will be held entirely online and is open to the public. Additional participation is open to Altonimbus Members (Kumoricon staff).

The meeting will be streamed on two platforms: Kumoricon’s Twitch channel, and Kumoricon’s public Discord server. Both are open to the public. Viewing on Discord requires a Discord account and joining our server, and Twitch does not require an account.

This year, we are using a new election format for director elections, based on a bylaws amendment approved by our members earlier this year, and a revision to our elections process approved by the board. Here are the changes we are making:

  • Voting for director elections will not occur at the annual membership meeting. Instead, voting for director elections will be open for 5 days, from Thursday, December 8, at 8:00pm, Pacific Time, to Tuesday, December 13, at 8:00pm, Pacific Time.
  • All members will receive emailed voting instructions closer to December 8.
  • Members do not need to attend the annual meeting of the membership to vote.
  • Those who are unable to attend the meeting may watch the video replay on Twitch, and there will be time to watch it before the voting deadline.
  • Although we will continue to host live candidate speeches, Q&A, and comments during the annual meeting, we will not pause between each race to vote. We expect the meeting to be much shorter as a result.
  • Because voting is not part of a specific membership meeting, proxy voting is not allowed. All members have 5 days to vote and those interested in voting should directly cast their vote.
  • In order to reduce the chances of needing a runoff vote, voting will be conducted using approval voting, as specified in the recent bylaws amendment. In approval voting, members vote for as many candidates as the member approves of, with the winner being the candidate who receives the most votes, as long as it is a majority of votes cast. There will also be a “no confidence” option for all races.

Things that are staying the same about director elections:

  • We will continue to use ElectionBuddy, a third-party platform, to vote for directors.
  • Votes on ElectionBuddy are anonymous. No Kumoricon staff, including the election tellers or moderators, can see who you voted for or whether you voted “no confidence”. (We can, however, see which members submitted a ballot at all.)
  • The vote counts for each candidate will be publicly published.
  • We will continue to host nominations, online Q&A, comments, and endorsements on the public Discord.
  • We will continue to also mirror the nomination list on the website forums and accept questions there.
  • We will continue to create an archive of questions, answers, and comments on the staff website for those who do not have a Discord account.

Nominations began at the Rant and Rave meeting on the last day of the convention, and online nominations, and candidate Q&A, and endorsements, are now open on our public Discord and on the forum. The ongoing nomination list, and full details about elections, are available at those locations.

The elections will be for the following board positions, for annual terms:

  • Director of Publicity
  • Director of Relations

Message from the Board of Directors

The board of directors for Altonimbus Entertainment would like to formally apologize for the current situation surrounding the actions of some of our staff members and our responses to it. The board of directors has met and after being informed of the details of this situation we are shocked at the lack of transparency, communication and also the neglect that our Staff and Attendee Services (“HR”) team has shown. At the urging of the board of directors, our Staff and Attendee Services and our Chair have stepped down in part due to the neglect of this situation.

In regards to the original event in 2021, our social media did not have the full information about the finding and reprimanding of the volunteer staff who were involved. Unfortunately due to a lack of communication, our investigation regarding the situation is still underway.

The posts made on our social media over the last couple of days do not represent our core values and beliefs. We accept full responsibility for the mismanagement of our social media posts.

We have reached out to the injured parties to seek resolution and reparations.

We are actively working on EDI (Equity, Diversity, and Inclusion) training to ensure as an organization all of our staff are fully trained to see, seek, and resolve any equity challenges that may arise in the future, starting with all of our upper management.

We will not be making any more statements as this is not our story to tell and we will support the injured parties in elevating their stories.

Stop AAPI Hate

Hey Kumo Fam,

Following our Instagram story, we wanted to talk about an experience that occurred at the end of our 2021 convention that should never have happened. Due to a miscommunication and how the situation was handled, it made a group of attendees feel discriminated against. We take full responsibility for the gap in training that facilitated this encounter. We do not tolerate racism or discrimination against anyone within our convention and are deeply sorry that actions of our staff had that effect on anyone within our community. Whether the act was intentional or not, the feelings of those affected are valid. Steps have been taken to reprimand and coach the involved staff member to prevent a situation like this from happening in the future.

As a convention that celebrates Japanese culture, hatred against the AAPI community is unacceptable. The fact that we let anyone think otherwise deeply saddens us, and we apologize for that as well. Something we have already been working on through the course of the last year is a committee to discuss Equity, Diversity, and Inclusion within Kumoricon and how to improve training for our staff members in this regard. As we continue to expand this training within our organization, we hope that you will give us the opportunity to grow from this situation and show that we take these matters seriously.

Update on COVID-19 Health Checks

We wanted to address the health check and line situation at the event. First of all, we are deeply sorry for the wait, and any confusion caused by lack of adequate signage. We knew there would be additional needs to support our policy changes surrounding COVID-19, and we had done a lot to prepare for those needs. In the end, a lot of our preparation fell through at the eleventh hour. We have been doing our best to handle situations as they arise. We understand the frustration, and it is completely valid. However, please bear with us as we continue to try to work through an unexpected record high attendance in addition to lack of staff leading up to the event.

While there are many factors that have affected the preparations we made, instead of listing excuses, we want to communicate what we have been working on to make immediate improvements:

  1. We have been working with the on-site testing center through Curative to see if they can extend their hours. They were able to extend their hours on Saturday, but at the last moment we heard they were not able to accommodate Sunday hours, which is one of the reasons we are making this update today.
  2. We are now accepting home tests. We prefer you take the test on-site as they are more accurate when taken within a short window of being reviewed. Pictures of the at-home tests will not be valid; we will continue to need them to be in hand.
  3. Our Board of Directors has approved the immediate acquisition of at-home tests to help accommodate Curative not being open as long or as late as we had hoped they would be.
  4. The Oregon Convention Center has worked with us to offer Hall D of the convention center for people to take the at-home tests so people don’t need to stand out in the cold for the testing, especially once Curative is closed. Hall D can accommodate the size we need for these health checks and allow us the room to be better organized as we complete these checks.

Our recent updates to the at-con COVID-19 safety guidelines have proven effective by early detection of positive cases prior to entry into convention space. Due to our next steps listed above, the reorganization of lines and flow of con traffic, and potential of inclement weather, we are restructuring our processes for the rest of the weekend.

Moving forward, health checks will be conducted in Hall D of the Oregon Convention Center. Once the convention opens for the day, all attendees without a health check wristband need to go to Hall D with the exception of those requesting accessibility accommodations. There will be 4 lanes in Hall D:

  1. Staff/Specialty/VIP
  2. Those with vaccination cards
  3. Those with negative test results (from a testing provider)
  4. Those who have not yet been tested:
    1. Curative is open: Attendees will be tested by Curative as long as they are open and able to perform tests.
    2. Curative is closed: Attendees will be tested under staff supervision in line in Hall D.

Once someone has passed their health check and received a wristband, they will go to registration to pick up their badge.

In recognition of Friday’s difficulties, we have started offering a 10% discount at the Kumoricon merchandise booth. This will continue all weekend. With the improvements listed above, we will continue working to provide a safe space for everyone.

We are pleased to welcome GreenFlöw as a DJ at our Saturday Dance Party! GreenFlöw will be joining TeddyLoid at our Saturday night event. (BANVOX is no longer able to attend.)

Update to COVID-19 Testing Availability

Update: Please see our follow-up post for the latest information on COVID-19 health checks at Kumoricon.

Due to recent and unexpected changes to nearby testing availability, Kumoricon is announcing an update to our official policy on home antigen tests. Previously, these tests were accepted only on a case-by-case basis in unforeseen circumstances. Given recent updates to Curative’s hours of operations, we feel it appropriate to provide attendees with clear and reliable testing expectations.

Kumoricon 2022 will accept home antigen tests during hours when Curative’s testing site is closed. If using this type of test, please bring your test with you to con and let health check staff know prior to taking the test, as many home antigen tests have a short window within which the result is considered accurate. When returning with a result, you do not need to wait in line a second time. When available, we still strongly recommend nearby testing sites such as Curative for a faster and more accurate experience entering the con.

The Kumoricon 2022 guide is now available in the Guidebook app!

This free app for Android and iOS contains a live-updating Kumoricon schedule, maps, photos, convention information, announcements, and more. Mark events to create a personalized schedule with reminders. The entire guide is downloaded in advance, so it works offline if you can’t get reception.

"Food Wars" Food Drive

Join Kumoricon in supporting the Hand Up Project for the “Feed Your Waifu / Husbando” food wars! Barrels will be marked with three of your favorite anime characters. This year, the characters will be Anya Forger, Denji, and Shoto Aizawa. The character whose barrel is filled with the most donations will result in their English voice actor receiving an invitation to attend Kumoricon 2023 as a special Guest of Honor!

Charity Photobooth

We are excited to bring back our charity photobooth for Kumoricon 2022, located in KumoriMarket.

Cosplay and photography require a lot of time, planning, and dedication, so let photographers at the Kumoricon charity photobooth help make this experience simpler for you. The team working behind the scenes is a dedicated group of cosplayers and photographers who have been in the convention scene for more than a decade. Kumoricon is filled with so many keepsake moments, and we are happy to help you relive and treasure your Kumoricon memories.

Donations are always welcomed. All donations from the photobooth will benefit Kumoricon’s charity recipients: Doernbecher Children’s Hospital, and The Greeney Family Fund for Japanese Track Scholarships at The International School.

Kumoricon 2022 will be continuing a hybrid model for autographs where some guest autographs are free, and some autographs will need to be purchased. Paid autographs are available online starting November 1, and free autographs will be available with first-come, first-served reservations once you pick up your badge at con.

Announcing TeddyLoid as Guest of Honor

Join us in welcoming TeddyLoid to Kumoricon 2022! TeddyLoid started his career as MIYAVI’s DJ and sound producer when he was only 18 years old. He grew in popularity rapidly with his production of the OST for the anime Panty & Stocking with Garterbelt ft. Taku Takahashi (m-flo) as well as his creation of tracks for the Vocaloid IA. In 2014 he produced the music for the short film ME!ME!ME! ft. DAOKO, which was a viral hit. We can’t wait to see what he has in store for us this year!

Extremely Hard Take-Home Anime Quiz

Win a Nintendo Switch with the Extremely Hard Take-Home Anime Quiz! This is a multiple-choice, open-book, take-home quiz that begins on the Kumoricon website three weeks before the convention. You can look up anything you want to get the answer. The questions are so hard that you probably will not know any of the answers from memory. Instead, you will need to do research into the real world of such topics as art, geography, history, literature, music and science. The answers will provide additional context to the anime that you already know and love.

Updated COVID-19 Expectations for Kumoricon 2022

As the pandemic rages on, we as a larger convention have been getting a lot of feedback about our mask and vaccine policies. Some are asking for clarification, some asking for policies that ensure safety. This is uncharted territory for us, but we have also done our research and we cannot ignore that omicron variants are a lot more contagious than the original virus. We have also been watching CDC recommendations and local COVID-19 transmission levels in the Multnomah County region which are currently high, with an expected surge accompanying the cold and flu season.

With all of these factors in mind, we have decided to increase the protectiveness of our COVID-19 policies to require that facial coverings now meet a minimum standard of N95, KN95, or KF94 filtration. We have also clarified our vaccine requirements to state that all attendees age 6 and over must provide either proof of COVID-19 vaccination and at least one booster administered within the last year, or proof of a negative test.

To help facilitate this change, we have already decided to make free KN95 masks available for any attendee, vendor, or staff who needs them. You can find more detailed information, including new updates to our frequently-asked questions, by reading our COVID-19 Safety page.

September 2022

October 8 General Meeting

Our next general meeting will take place on Saturday, October 8, 2022, at 1:00pm, and we will be holding it online. The meeting will be streamed in real time on Kumoricon’s Twitch channel. Additional participation is available on our Discord server.

There will be an amendment to our bylaws put to a vote of the membership. The primary purpose of this amendment is to add a set of rules and processes for holding remote (online) meetings of the membership. We started holding remote membership meetings during the pandemic under a provision of Oregon law, ORS 65.205, which allows any nonprofit organization to hold remote membership meetings, whether or not their bylaws authorize it. Our proposed amendment improves our bylaws by making clear that remote meetings are a normal type of meeting that we plan to continue to do. The amendment also includes a number of other legal and clarity improvements.

Amendments to our bylaws must be approved by both the membership, and the board of directors. The board approved this amendment at a board meeting on September 28.

The full text of the amendment (with detailed summary) is available for review. This document is unchanged from the version presented to the member at the September 18 meeting. Staff members may continue to ask questions in the #general channel on the staff Discord, and at the October 8 meeting.

Gundam Model Showcase

Get ready for Gunpla! Models will be graded for paint job, overall creativity, and technical mastery, each category being worth 10 points for a total of 30 possible points. There will be 3 categories: one for standard Gundam models (all scales and grades), one for atypical Gundam models (SD, Petit, Figure-rise, mascots, etc.), and one for dioramas (all scales, grades, and styles).

COVID-19 Expectations for Kumoricon 2022

You are currently viewing the COVID-19 safety page for Kumoricon 2022, an older convention year. Visit our registration page for the most up-to-date information.

In our ongoing mission to keep Kumoricon 2022 the safest event for everyone, we have decided to increase the protectiveness of our COVID-19 safety precautions compared to last year’s convention.

Please review the following requirements, as well as answers to frequently-asked questions below:

  • All attendees age 6 and over must provide either proof of COVID-19 vaccination and at least one booster administered within the last year, or proof of a negative test. Verification will be conducted on site.
    • If you are using a PCR test, then it must be taken on or after Tuesday, November 8. A negative result will be considered valid for the entire convention.
    • If you are using an antigen test, then a negative result is considered valid for 3 full days following the test date. (For example, a negative test taken on Thursday will permit being at the event on Friday, Saturday, and Sunday.) A test must be re-taken during the convention if an antigen test’s 3-day validity window expires before the end of the event.
    • We currently expect free 2-hour PCR testing to be available nearby—see COVID-19 testing locations below for more information.
    • A home antigen test is not accepted except in specific extenuating circumstances. See our Test requirements FAQ section below for more information.
  • All attendees age 2 and over must wear facial coverings in convention space, except in designated eating areas while eating or drinking.
  • Facial coverings must completely cover the nose and mouth, and must attach to the head with a strap.
    • Facial coverings must meet a minimum certified standard of N95, KN95, or KF94 filtration.
    • Facial coverings that are not allowed include (but are not limited to): surgical masks, paper masks, cloth masks, any masks with an exhalation valve, bandanas, mesh materials, masks with excessive holes or damage, face shields without a mask, and neck gaiters.
    • This year, Kumoricon is providing KN95 masks! See Mask availability below for more information.
  • Facial coverings must be visible. Attendees may not wear a costume that prevents anyone from seeing that the facial covering requirement is being followed (such as a helmet or head covering).
  • The facial covering requirement applies in all locations in the Oregon Convention Center, and in all event rooms and event hallways for any programming in the Hyatt. The only exceptions are in designated eating areas while eating or drinking, and while presenting or performing for any officially-run event where the written rules for that event allow for an exception.

Our safety precautions are an ongoing conversation involving our venue, local guidance, and the conditions of the pandemic. Our requirements are subject to change up until the convention. Our COVID-19 Safety page and our Code of Conduct will always reflect the latest information.

Mask availability

Kumoricon will provide a free KN95 mask to any staff or attendee without a sufficient facial covering option, or unsure of their mask’s filtration. Masks can be obtained from the Operations Office, Registration, Info Booth, or any wristband station. Masks sized for youth and small children will be available. While we should have enough to supply anyone who needs a mask, we ask attendees to do their best to limit to one mask per person.

COVID-19 testing locations

A vaccine is the best step you can take to keep yourself and everyone else safe at the convention, and is the most reliable way to get through our doors. Based on the CDC’s guidance around vaccine effectiveness over time, our policy counts a primary vaccination series plus at least one booster dose, with the booster having been administered within 1 year of Kumoricon 2022.

A PCR test is the next best thing if you are unable to be vaccinated by con. There are many places where you can get this for free! The closest location to our event is located just outside the OCC’s Holladay Lobby, providing free 2-hour PCR and ~30-minute antigen testing. Visit the Curative booking page for Oregon Convention Center Outdoor Plaza—Rapid PCR for more details.

An antigen test is an acceptable fallback if your PCR test does not arrive in time. Free PCR (and antigen) testing is available at multiple locations in addition to the location listed above.

We will continue to update this space if COVID-19 testing locations change closer to the convention.

If you take a PCR test, it must be administered on or after Tuesday, November 8, to allow entry for the entire event.

An antigen test is more restricted, and is only valid for three days following your test date. If you take a rapid test, it must be administered Thursday or later to cover all days of con.

FAQ

Costumes and mask types
Q: Will Kumoricon be providing masks if we forget or don’t bring them?

A: Yes! This year we have been able to set aside a stock of masks for staff and attendees who need one. Masks for youth and small children will also be available. While we should have enough to supply anyone who needs a mask, we ask attendees to do their best to limit to one mask per person.

Q: If I lose the mask Kumoricon provides, or it becomes damaged, can I get a replacement?

A: While we ask that attendees do their best to limit to one Kumoricon-provided mask, we have planned ahead to have extra masks on hand. If your mask becomes damaged or lost during the convention and you don’t have a replacement, please visit the Operations Office to let us know!

Q: I have a headpiece, helmet, or other full head covering as part of my costume. Can I wear this? If not, can I put it on temporarily for photos?

A: You may only wear it if it does not prevent us from seeing that you are following the mask policy. You may wear your headpiece over your properly worn mask for photos, but must remove it once the photos have been taken.

Q: Will fursuits or costumes with headpieces with open mouths be allowed if a staff member could see inside the mouth to check for a mask if they get close enough?

A: If we can clearly see that your mask is on properly, it is allowed.

Q: Please clarify “and must attach to the head with a strap”. Are you requiring something more than standard ear loops?

A: Not all masks attach to the ears, so we want to be inclusive of masks that tie around the head or attach in other ways.

Q: I have a spandex suit that completely covers my head. Do I wear the mask under or over that?

A: Please wear the mask over the spandex and make sure it still covers your nose and mouth. We need to be able to see that you’re wearing the mask and that it’s secure.

Q: Can a neck gaiter be worn over a mask if it is part of my cosplay?

A: No. The required mask cannot be hidden by the neck gaiter. We need to be able to see the mask.

Q: Are ski masks allowed if they don’t “attach” to the head?

A: No, these are considered similar to neck gaiters, and are not allowed for the same reasons.

Q: Can I wear a cloth mask over an approved mask?

A: This is allowed as long as the mask worn underneath meets our minimum mask requirements (N95, KN95, KF94).

Q: Is there any kind of double masking that would not be allowed?

A: As long as all of the visible masks being used fit our guidelines, it should be okay. However, we reserve the right to make a judgment call in unusual cases, as we cannot foresee every eventuality.

Q: Are “vented” masks acceptable if the vent is completely covered by filter material?

A: Sadly, no. Masks with vents are not allowed because we cannot verify whether someone has the proper filters inside. The CDC does not recommend these, so we are not allowing them.

Q: Are face shields allowed?

A: Face shields are not an appropriate substitute for a proper facial covering. They may be worn as an additional layer of protection, but are not sufficient on their own.

Q: Are clear lip-reading masks where the mouth is visible allowed if they securely fasten to the ears or head?

A: Masks with windows for lip reading are allowed. However, face shields that have air openings or are located in front of the face are not allowed. A good rule of thumb is that air entering and exiting your mask should pass through some type of filter.

Masks that are designed entirely out of clear plastic or another airtight material are not permitted, as all air entering and exiting the mask moves past the sides of the mask unfiltered. This also includes face shields which are open to the air on one or more sides.

Q: Can I paint my mask?

A: While our policy does allow decoration, please take care to ensure that any materials used on your mask don’t have harmful fumes or negatively affect the mask’s ability to filter.

Q: I have a layered cloth mask that fits a filter square into a pocket. Is this allowed?

A: Pocket-style filters aren’t sufficient on their own. This type of filter has a wide variety of actual filtration, which can’t be determined on sight.

Q: I have a special mask that has full N95+ filtration (not just a pocket insert). Is this allowed? (e.g., Happy Mask, Enro, Breathe99, others)

A: Masks that can be visibly distinguished as a known brand/style with filtration comparable (or greater) to N95 may be permitted. Because this can be subjective, our staff reserve the right to make a judgment style on specific, unfamiliar, or unidentifiable mask types at con.

Mask exemptions
Q: Can I take my mask off for photos?

A: There is no exception for photography poses.

Q: As a panelist or event participant, can I take off my mask while presenting?

A: Currently the only exception is the Cosplay Lip Sync Showdown. If that changes for an event, that will be communicated in the rules for panelists or specific events.

Q: Will there be designated quiet areas for people with sensory needs to take mask breaks as an alternative to going outside?

A: Eating areas are the only areas where masks will be able to be removed briefly for eating or drinking. Our AFK room, Gunpla Lounge, and Manga Library are quieter areas, but masks will be required.

Q: What accessibility options will be available for those who may rely on lip reading?

A: We don’t have a list of these handy, but if you or someone you know has an accommodation request or for any questions, please contact accessibility@kumoricon.org.

Vaccination requirements
Q: What vaccinations meet our requirements?

A: To meet the vaccination requirement, you must present proof of having received a full primary dose of a COVID-19 of a vaccine (second dose for two-dose vaccines, or single dose for one-dose vaccines), as well as a COVID-19 booster vaccination. Your booster dose must have been administered within the last year.

Q: Are boosters included as part of the vaccination requirement?

A: Yes, a booster dose is required. See the above answer for additional information.

Q: Is the new bivalent booster a part of the booster requirement?

A: While we do not require the new bivalent booster for this year due to how recently it has become available, we do encourage all of our attendees to take this important protective measure if they are eligible to do so.

Q: I can’t get vaccinated due to religious reasons. Can I show my exemption to get in?

A: If you cannot get the vaccine, you will need to meet the negative test requirements.

Q: Is a vaccination proof from outside the United States acceptable?

A: We will accept as much as we are able. Please check back to this page for the latest confirmation. Also, please contact us in advance if you would like to make sure.

Q: Does 1 year count a year from con, or does it have to be within 2022?

A: Our booster requirement measures 1 year from the date of Kumoricon 2022. For example, a booster administered in December of 2021 would satisfy our policy.

Test requirements
Q: What kinds of tests will be accepted?

A: NAAT/PCR-based tests (including rapid PCR), ID NOW tests, and antigen tests will be accepted. A test should be administered at a location which provides a record of the test date and result.

Q: What if the test is taken at the store?

A: To be an allowable antigen test, the store must produce their own documentation of the negative test result.

Q: Are at-home tests accepted?

A: Currently, Kumoricon requires tests to be documented by a testing provider. In cases where local testing is unavailable due to shortages, unexpected closures, hours of operation, or otherwise not reasonably achievable, Kumoricon staff may accept results of home antigen tests on a case-by-case basis. In this exceptional case, check in with staff prior to administering the test.

Q: Your rules say for a PCR test, it must be taken on or after November 8. Does this refer to the date the test is taken, or when the results need to come in?

A: The test must be taken on or after November 8, not just the result. 2-hour PCR testing is expected to be available at the free Curative testing site located located outside of the OCC Holladay Lobby.

Q: Will testing be available on site?

A: We currently expect the free Curative testing site currently located outside of the OCC to be available during our event. For more details on this site, including address and hours of operation, please visit the Curative booking page for Oregon Convention Center Outdoor Plaza—Rapid PCR.

Q: What if I arrive after testing options have closed?

A: While we currently cannot guarantee any change to publicly posted hours, Kumoricon is working with nearby testing providers to extend hours of operation where possible. In the event that COVID-19 testing is not available locally, home test kits may be allowed on a case-by-case basis (see above FAQ item on home tests).

Q: Why aren’t vaccinated attendees required to take a test?

A: We recognize that nearby testing facilities have limited resources. While vaccination does not provide a guarantee against COVID-19 transmission, it does provide some barrier. Combined with our increased minimum masking policy in 2022, we feel that our vaccination/testing requirement provides a balance between available resources and attendee safety.

Vaccination or negative test verification
Q: Is a photo of a vaccination card acceptable?

A: Yes, photos of vaccination cards are okay. We can also accept a standard medical chart app (such as MyChart) if it displays your vaccination proof.

Q: Are California resident QR codes allowed as vaccination proof?

A: We will try to support QR-code based health cards, but cannot guarantee accessibility at the con. Please bring a backup if you plan to use this method.

Q: Can staff upload photos of their vaccination cards in advance?

A: Staff will be checked using the same process as attendees, as we don’t even know your badge type when first entering the building. We are not set up to do advance verification.

Q: What kind of identification should I bring for proof of vaccination or negative test?

A: Identification requirements for our health check are the same as our requirements for registration, a valid, government-issued photo ID, so you don’t have to bring anything extra. You can use the same documents for both. Please review our registration page for full details.

Q: Will I need to show my proof of vaccination or negative test every time I enter?

A: We will be giving wristbands once you have entered the OCC, even before you get your badge. You may need to get a new wristband the next day if you enter using an antigen (non-PCR) test result.

Venue space
Q: Will there be time or capacity limitations in event rooms? Since the convention’s livelihood is based on high attendee numbers, how are you addressing the direct conflict that brings with health and safety guidelines?

A: There’s definitely a balance that we’re having to find, and we want you all to know that we’re taking it very seriously. We can’t always achieve perfect social distancing, but we’re looking at how much we can space things out. This is part of why we’re enforcing vaccination and test requirements, as well as mask requirements. There’s no perfect answer here, but we’re doing what we can.

Q: Will you be clearing rooms between events for any kind of disinfecting?

A: We do have longer gaps in between panels this year for clearing out and less overlap, and we will be trying to add disinfecting, but it is not something we can guarantee for any or all panels.

Eating at the convention
Q: Where can I eat at Kumoricon?

A: Eating areas will be present in clearly marked areas at the convention. A marked section of the Gaming hall is our primary eating location; it and any other eating area will be clearly marked on our maps as well as with signage.

Q: Can I eat in other areas of the convention if there is space?

A: No. Any area not clearly marked as an eating area is required to keep our mask policy. Corridors and thoroughfares, including the large steps beside staircases as well as balcony seating, are not designated eating areas.

Q: Does a designated area mean I can bring my own food?

A: Although designated eating areas allow removal of a mask while eating, they do not override the Oregon Convention Center’s strict outside food policy. Please do not bring outside food into the Oregon Convention Center, even in designated eating areas.

General topics
Q: Are there any differences between minors and adults for COVID-19 requirements?

A: The only differences are the minimum ages at which we enforce the vaccination-or-negative-test requirement and the mask requirement. All attendees age 6 and over must provide either proof of COVID-19 vaccination, or proof of a negative test. All attendees age 2 and over must wear facial coverings based on the listed requirements.

Q: If someone were to go against your COVID-19 requirements, what would happen?

A: We would follow the same procedures we follow when people break any other policy for our event. We will enforce those rules, and failing to follow them repeatedly could lead to being removed from the event.

Cosplay Lip Sync Showdown Is Open

  • Like previous years, participants will audition for the event. This does not have to be fancy; we just need to be able to see your face and hear the music/lyrics.
  • New this year: Participants may submit a previous lip sync performance that is from 2022 only.
  • Please do not use filters (TikTok, Snapchat, etc.) on your audition video! Any video with heavy filters will not be considered.

Update to Cosplay Contest Rules

We have made an adjustment to our Cosplay Contest rules. We are now clarifying that unfinished costumes may be entered into the contest provided that they will be complete by the convention.

If you do not have “in-progress” or “finished” photos ready to attach to your entry form, then in lieu of these photos, we are requesting proof of commitment to the project. This can be a project outline/time-line, or a budget, or proof of materials bought. (This updated rule replaces the 75% or mostly-finished requirement that was communicated to people who inquired.)

We apologize for the late communication about these requirements. The purpose of this was to curtail the high percentage (in some years up to 90%) of those who enter early with enthusiasm but end up dropping out closer to convention that we have seen in the past.

Applications for our KumoriMarket will be opening on April 20!

Exhibitor Area, Artist Alley, and Small Press applications will all open on the same date. Artist Alley applications will close on or before April 29. Small Press applications will close on or before May 6. Exhibitor Area applications will close on or before October 29.

Applications are juried, and are not first-come, first-served. However, if applications close early, an announcement will be made on our website and social media at least 24 hours in advance.
