Artist Alley 2008 / Exhibitors Hall 2008

This is just...to try and get a few answers since I've sent so many emails and have yet to get any clarification on this topic, and I can't find any recent topics talking about this years convention artist alley! So here goes:

1.) I'd really like to get my table/badges squared away, ASAP. I've received no response on email and am just trying to figure out where to get a contract, and such.
2.) Is there an art show this year? How do I get involved?
3.) Is the alley and Exhibitors hall the same room? It was last year so I assume it is this year.
4.) I'm debating a dealers booth - What's the pro's and cons of this vs an artist booth?

I realize I should have registered at the end of last year, or even at Sakuracon, but I simply did not have time or the money. Now I do, and want to make sure they don't get sold out before I get in. Seeing as I have my hotel and trip already planned and done, and I am going through a neurotic phase of "GET THINGS DONE NOW". So =D little help? Thanks!

The only one I have an answer for you is 2).  Yes, there will be an art show this year.  Info and sign-ups will (hopefully) posted by the first of June.

I can anwser #4 because it has been discussed on several occasions: Here is the rundown...

Exhibitors Hall
1st Booth: $225.00 (US)
Additional Booths: $175.00 (US)
Booths are 10′ x 10′, and come with a 8′ x 30″ table with 2 chairs and a 120-volt power outlet. Pipe and drape included.
The first booth includes 2 full passes to the convention. Additional booths do not include additional passes. Additional passes are $25.00 (US) each.


Artist Alley
Booths are $80.00 (US) 10′ x 10′, and come with a 8′ x 30″ table with 2 chairs and a 120-volt power outlet. Pipe and drape included.
Artist Alley is open to creators of original artwork, fan art, and handicrafts only.

I have heard that the Artist and Exhibitors will be in the same room. However, do not quote me on that. I do not have the official word. But do keep a close eye out as we come into summer. More details will be released.

I don't log on to the forums as often as I should, but a few things:

Upon inheriting the Exhibits hall from the incomparable Eric, I also inherited his reg system for both booths and tables this year. This meant that artists were allowed to purchase their tables AT last year's con. This, of course lead to many artists jumping on that opportunity, which meant that I came in to the year with the AA a little over 1/2 full. And with only 20 spaces, well you can imagine how they might go.

After giving it some thought, I will expand the AA. I will be replying to all AA inquiries on Monday, when I return from A-kon.

That's good news, I've emailed the main Kumori exhibitors email and noted you on DA Lori, please let me know at your earliest convienience.

Yeah, I got my registration last year after the con and I'm thinking that next year it would be nice to have a reserve for those who just don't have the money for the AA.  If you have been going to the show more than 2 times (like if you were at the show two shows before this current show) then you should be given like an email or letter from the show asking if you want the spot for the next show.  This is how it works at the Portland Comic Book show and it's so easy! I love going to that show because it's that easy and I know that it's a dog-eat-dog sort of situation but it would be nice to at least feel reassured that you will get a chance to have a space for next year just because you don't have the money right now. 
Parents; be good to your kids.... they'll be choosing your nursing home.

I don't remember it being -that- close =p. And I remember the website being kinda updated a bit more then that near to the con. Maybe I'm wrong though! But I felt a lot more informed last year, then this year. Less ignored on Email/Pm level as well. (And I'm aware of the backlog and recent email issues, those are fixed. And I'm still not getting responses.)

The only thing that I really worry about is not having confirmation about a table (or my convention registration for that matter). I know that my check cleared, but that's all I know. This is my first AA so I'm not 100% sure how it's supposed to work and it's a little bit scary not hearing anything for so long. n.n;;

Woah, yeah that's pretty wack! There was some pretty bizarre happenings last year, as I recall. Lol.

And I agree Genki, some confirmation might be nice. However, if you have questions I'd just email the exhibitor person again! Not a lotta' staffers people seem to be on these forums often, so email seems to be the way to go.

( Not that I'm getting ya know...response either. Gee. And I sent a money order, so I don't even get a 'cleared' notification!) But have no fear, if it cleared, no doubt you have your table. Just keep record of it in case!

Not sure if having a list like that is possible/probable. I didn't really remember seeing one last year, I don't think. Although yeah, I was kinda scared stuff got lost this year.

I understand your frustration. It's worrying to me because I've sent in my check and contract already and it's been cashed and no confirmation was provided. Earlier in the year I complained of Artist Alley complications but was able to receive the contract eventually- provided by Lori at the time. I did e-mail registration@kumoricon.org recently to see about confirmation of my attendance and if they might have anything about my table(if I got one). They promptly e-mailed me back the following day and said they would get back to me about a weeks time. All the information they could provide at then was that Artist Alley badges will again be picked up and not mailed out.

If I receive any more information I'll let you guys know.

MUCH appreciated Pinqfu. I gotta admit, I would not be jumping the gun or being so antsy if it weren't just so close to the convention itself. Or if it was just -me- having this issue, but I keep seeing that other people are as well so I've been getting increasingly worried and angry about the topic. I did not know the badges would be a pick-up deal until just now, either.

Edit-

I heard some information today from the Exhibitors Manager, that the contracts go through quite a bit of a process before they even get to SEE them. Basically, the director of Relations and Treasurer need to sift through them before scanning and emailing them to the Exhibitors Manager. I was also informed that they'd be coming in any day now, hopefully. This was not a process I was aware of. But this could be the reason why there's been little confirmation. Hopefully this info helps too.

What's unsettling to me is that I was looking back to another thread about the artist alley and sending contracts and if you wanted confirmation you had to REQUEST it when you sent payment. If you send any type of payment you DO NOT request your receipt, you should be provided it. I'm lucky that my check was electronically scanned and provided to me by my bank, but it still does not provide confirmation of what I've paid for.

We'll see what happens, there always seems to be some kind of drama attributed to my visits to Kumoricon.

And yeah...that feels a little fishy to me. Although I always request confirmation, just to be crystal clear I wanna know whats going on. And whats worse? I used a money order, not a check (but BOTH payment options are available, and I do not use checks anyways). I will not get a confirmation of it being cashed and used, but I will keep my receipt in case I need that to prove I DID indeed pay and send in a contract. This table is integral to my visit, ya know?

Sadly this is the first time I've EVER had drama surrounding this convention, usually it's every other one, and not this one. But hey, if we both make it there we should go get some ice cream or something to celebrate XD.

I just checked my bank and the copy of my check. The check was cashed on april 7th. So I'm assuming my contract was okay. I can't criticize the process too much as it's worked in the past, but I can't help but be skeptical of the current coordinator.

We can has starbucks :B or both, ice cream and starbucks <3 ICE CREAM STARBUCKS AND CAKE!!... that is how we will rejoice >:)

Yeah I think it's safe to say that if it was cashed, the contract should be valid. At least I hope so! And I agree, process seemed to work fine before. Although to be honest, I knew (know) very little ABOUT the process in general, and only assumed it went through 2-3 other people before it was confirmed. I just...thought it'd be earlier on in the year. But with the big email-issue (Nothing was forwarding, or so I heard) it seemed to create mass confusion.

And...Oh god, our teeth will be rotted out in jubilant celebration. <3

I've sent e-mails to 2 different e-mails and received no replies, so either your system is messed up or I'm being ignored.

I would liked to know if the alley is full yet and I've been trying to get contact about a table for a month.

Unfortunately I went the harassing route of finding the Coordinator on Deviantart and noted her after getting no response through email. However, simply because I already caused such a huge flood of notes (Posting this thread originally did so, apparently) I won't post her name here.

I was also told through DeviantArt that I was confirmed, granted this was after I got rather feisty on the topic at hand. I never once received a response for ANY of my emails throughout the year, however.

If you have not paid, or even received a contract, then I don't really know what else you can do but wait and keep emailing =\.

Wait a minute. Are you saying if people had their checks cashed in MONTHS ago, that it was sent off to the AA manager THEN? And that people should have been notified about this a long time ago? Because how it sounded to me, was that it took a long time to get through treasurer and Relations...I mean no offense, but it's taken one hell of a long time to GET to the AA manager if it's the case, either that or there's another blatant issue here.

Are there any other people on staff that can contact this person and get her to do her job? It's incredibly unprofessional to be unable to contact someone who NEEDS to be in contact with people and to not bother checking the forums.

I sent an e-mail to registration about a week ago, they informed me of the release of badges for the Artist Alley would be on your arrival (probably on Friday evening) like it was last year. I had ask them to see if they could confirm my table and registration. They responded stating they did not have the info and they would forward my e-mail to the Director of Relations who over looks the AA coordinator. I mentioned the current turmoil on the forums and the mass confusion, and am awaiting a return e-mail about the situation.

From Eric though, it seems my table has been confirmed since my check was cashed but there is no official confirmation. As for other info, like table availability, contracts, and or other information pertaining to AA, I still have no further information for you all. If and when I receive an e-mail return from the Direct of Relations I'll let you know.

I got my contract from the AA coordinator through email in March or so. It took me a month to get a response though. Currently I've got an email out to the exhibitors address about table confirmation, since my check cleared a long time ago, but I'm not sure I'll hear anything. I can't believe people are still waiting to hear back on getting a contract. >.<;

Hopefully this will all be cleared up soon. If I get confirmation I was thinking of sharing my table still, since it's my first time and I'm not sure I can fill up a big table on my own. I just don't want to bump my topic on it without knowing for sure that I have a table at all.

Screw it.  If Kumoricon doesn't want my money, that's fine with me.  I'll try to get a table at Sakuracon and maybe K-con next year when someone who gives a #*$& is the relations person.

I think she was getting notes over DA regarding the AA and things that should have gone to her email instead. Obviously it's the only way to hope to get a reply though. u.u;

I noticed there's a vendor post further up in the forums now. Apparently at least one of the vendors is still in the dark here also.

Her Da was the only way I got any response, to be honest. If that's what it takes to get an answer...then what other choice do people have? I know there has to be some angry Vendors out there too since it's the same email they gotta get through to as well. Ugh ugh UGH.

Hazuza, it's never quite been like this before, don't let it discourage you! Keep trying, and try again next year! It's usually pretty easy going to get a table. I ain't gunna give up, I love this convention too much to do so  :-X .

Edit: I think at this point people should just start simply emailing "Relations" instead of the Exhibitors email, it's clear there is not going to be a response and perhaps going above the coordinators head is the best idea, since she's overseen by Relations. I hate to panic at all, but...it's getting damn close and no other staff has said anything on their OWN forums aside from Treasurer and Director of Programming. It could very well be possible that the AA/EX coordinator is also not getting any help or replies from other staff, so it may be time to try and get a more direct answer.

Blah, I guess I could download AIM. I hate that we're all having to search for ways to contact this person. If you can make it to meetings, I'd say go for it. I've had to miss the last two because it's just too much to drive to Portland as far as gas goes now. I did send a message with my roommate who goes though. I'm confident that things will be taken care of, even if it takes a little more time. I've been pestering people about this problem since February/March when it took me so long to get my contract. x.x;

As it is now, I just hope I get to see everyone there. One of the greatest parts of Kcon for me has been the Artist Alley and getting to see all of the awesome talent that people bring to the convention.

I kind of replied to what lolanime said in the other thread about this, here *too lazy to make two posts*. >.<;;

I still don't know if email should be so heavily relied on at this point.  It really does seem like the only way to be assured to get any solid response from her is anyway BUT email.

I realize contacting her other ways may not be appropriate, but when you take on the responsibility to be in charge of so many people and are not readily available for them... then there's a problem.  Exhibitors and artists are a main event of conventions and it they're not there, then the convention is really gonna suck.  (Luckily I'm already set because I'm sharing a table with Neolucky.)

Those of you contacting the coordinator should definitely drop the hint that she should check out the forums.  I see that Misuteru has already done that!

I'm probably being redundant with all this stuff... but... eh.  :-\

What's "DA" by the way? Sorry if it's a silly question! And could there not be a way to have been using an alternate email instead? Is this the same problem that was talked about earlier with the emails not forwarding to Lori's Exhibitor email or is this an entirely new problem? I'm kind of confused, Hawk.

I'm pretty sure by 'DA' Hawkeye doesn't mean Deviant Art, because I don't know how DA could have 'email problems' because it... isn't email.

I think most of us here now realize that those involved with running Kumoricon have been having major email problems.  I think this should've been more formally addressed though... Like, on the front page of the convention website or something.  Not everyone knows to dig through the forums to look and see what the problems are.

In case Hawkeye doesn't know... By DA we mean http://www.deviantart.com ...  The AA coordinator has an account there and people have been desperate enough to try and get her attention that way since email (even though we are told that it is 'fixed') still doesn't seem to be working.

If I'm completely off on this topic, I apologize...  This is just my assumption to try and clear things up.

If you look on the first page of this thread, she was here and posted twice. She's aware of this thread.  And now in her DA claims she "Had no idea!"

I don't buy that. Not one bit. She's had these forums brought to her attention, I have PERSONALLY noted her on Da about them and how upset people are getting, she knows dang well what's going on here. However I refuse to start more drama involving this on her DA by making this comment there. I was debating on saying something on her DA journal, but figured it was a bad idea.

By all means, this is not "official", but know that people are working on this. I don't have details, but I was told that people are working to get this straightened out and make sure people are contacted. I know it is frustrating, just please hang in for a bit longer. ;) At least now you can say you have been contacted by a coordinator...thought I am just a lowly graphic designer. :P

DA had some note problems a few months ago but they were fixed within about a week C: (lol I've been getting notes on DA just fine, and sending them back has worked just as well)

Edit: :/ I sent her a small piece of my mind (don't worry I'm a civil person, no caps/obscenities were involved) when I replied to her e-mail telling me she had to get permission to expand the artist alley.

Really, this is ridiculous how hard it is to get a table and how little information I've gotten from e-mailing anyone. I'm going to the July meeting to hopefully sort this out in person (lol and actually get a solid answer) if I don't get any e-mail reply prior. ?_? srsly guys, come on

All I know is I'm really tired of excuses.  You can't have every single way of communication with a person not functioning. That sounds more like someone just isn't doing their job.

P.S. This isn't slander, considering she has SAID she's ignoring notes on her DA and wants everyone to forward her their e-mails, which they've already sent several times.

Well, this is disappointing. I'm trying to get layout information for my maps (I'm the convention cartographer) and I'm rather disheartened by her lack of response. I sure hope I can get info from her soon!

I receive my notes JUST fine, as well as sending, there is VERY little wrong with that websites communication, and there is a function to see if your note has been read. (Just check your sent-box and see, if the note is yellow it hasn't been read, if not yellow? It's been read).

Trust me, DA should have nothing to do with getting a hold of the Exhibit Coordinator, in all respects. Sadly it's what people HAVE HAD TO DO just to get a response. I'm sorry, but mentioning "DA having email problems" is another random excuse when dealing with Miss Collins. And now other staff cannot get a hold of her? Cripes! Is there a meeting coming up where this can be brought up? It's becoming something of an urgent matter as the convention draws close.

Yeah. I'm a civil person myself, and I've BEEN civil this entire time, even when being blunt with this coordinator and asking for a simple response! (To which, I was given quite a lacking, if not immature reply). LOTS of people HAVE BEEN civil. We've gone so far as to contact her and ask her to look at these forums just so she can see how much negativity is floating around due to her absence. And STILL she is a no show, even if it's VERY CLEAR she's active online.

What a freaking headache this whole mess has been, for everyone, I'll tell ya'.

P.S. This isn't slander, considering she has SAID she's ignoring notes on her DA and wants everyone to forward her their e-mails, which they've already sent several times.

Yeah, I'm not accusing anyone of slander.  I'm just saying we should try and remain civil...  Unfortunately I've been in a situation at a convention where I was quite upset, but civil, (even though I had a right to be because I could've possibly not gotten paid for art I sold) and the coordinators chose to treat me like crap because I was angry. >_>;;  So now I worry.

I do know what DA stands for, I have heard that message systems (which I assumed was email based) have been having technical problems for a couple of months though.

I haven't had any problems with DA.  The AA coordinator recieved my note just fine... I can tell because it let's you know when someone has read a note.  My note to her read:
I would like to HIGHLY suggest that you please check out the Kumori Con forums.  (Link to Forums)
There are quite a few upset artists on there and I think making your presence known would be a very smart idea on your behalf... so that people know that you are, indeed, trying to set things straight.


I think I was pretty polite in the note.  I sent it on June 27.  No response.

I believe you could get that information through the emails: registration@kumoircon.org AND relations@kumoricon.org (Relation's manager oversees AA/EX I believe) However I do believe that badge will be something you might have to work out with the AA/EX coordinator herself. All I know is that if you're splitting a table with someone, you need to add their name to your contract. The contract states that the addition needs to be done in person(as far as I remember) so probably at the convention. I can't see why you wouldn't have the same in/out privileges as the person who reserved the table once you're added to the contract. I'm not 100% sure though.

I would not let this stop you. Tables sometimes open up because someone decides not to show up(especially last year when half the alley was vacant) and tables not claimed by 12pm on Saturday are up for grabs. Oooor, you can see if you have an artist friend who might be willing to share with you.

We're planning on going to the July Meeting too to see if everything has gotten sorted out, but I really hope that everything is done and sorted in the update on the 8th from Tom.  It's getting quite close, and we still have to plan out how much of all of our supplies and ingredients we need to buy for the con.....We're going to bring a big plate of treats if anybody else from this thread is going.  <3

Thank you so much to Tom for giving it a go for us, and to all the other amazing staffers working to help get this problem fixed.  We're all looking forward to your informative update on the 8th.  :)

Lori's email was not recognizing emails sent to "exibitors@kumoricon" for about a month. This, combined with the backlog of both Artist Alley and Exhibitors work that has to be caught up on, as well as the natural two to five week lag, depending on when you mailed your paperwork, because of having to have someone deliver mail to her in Seattle, from Portland, has led to the current appearance of the lack of responsiveness on her part. I have been working with her on getting back on track, and this should be resolved within the next few weeks.

Thanks for cross posting this here, Tom. I'm a little concerned at the message, considering we were told quite some time ago this email issue had been fixed, but I do understand the fact contracts must be mailed to Lori from Portland to Seattle. I understand there was probably one hellacious backlog, but...from only a months time? It just surprises me that it would take so long to get any form of response after the fact the email had been fixed. But guess I'll never quite know what the heck happened.

Aw well. Hope this really does get resolved for everyone else! And...the con's pretty close for saying it'd be "resolved in the next few weeks"! Yipes!

With everything being so close to con... Does anyone else feel really uneasy? I mean im scrambling now to get the product ready for con. Cranking out 100+ dolls, 100 chii ears, all my prints, buttons, stickers, banner and anything else for my table is not going to be easy, only having 7 weeks left till con. And im also afraid my contract is going to be lost in transit... Ugh so much unneeded worrying. Not everything is going to go right 100% of the time, but... This is madness. (sparta etc...)

Well, even if I don't have any other news for you. Know this.

The windows in the Exhibitor's Hall can be opened to let fresh air in.
You'll be right next to the parking lot so you can back your vehicles right up to the side of the Hall for easier loading/unloading.

It's nice that someone is trying to get her to get her act together, but the broken e-mails excuse has been used three different times and we were told that they wered fixed.

This also doesn't excuse her blatantly ignoring notes on DA, this forum and her personal e-mail.

A few weeks is a long time with the con being so close.

Many of the upper echelon staffers do not frequent the message boards. They communicate entirely via email. Some of them can't go on the forums due to the constraints of their job, but can do email at work. A lot of them just don't come on the forums because they don't go online much, that still happens even in this day and age.

I can't speak for all of them, or any staffer specifically, but the board has never really addressed issues that came up on the forums unless they were notified about it in some other fashion. The board is "unofficial" in a lot of people's minds.

Just check the post counts.  ;)

I'm excited, thats for sure. Thanks a lot Tom! And sadly I knew that staffers don't generally visit the forums, but it feels kind of silly for them not to. I mean...it's such a great place for announcements and what not! I think it'd be nice if once in a while, they'd make it a point to come to their own forums, regardless of them feeling it's unofficial or not. And arg wish I could go to the meeting! I'd love to check out the space more personally!

Also, information could have been posted on the official website, updates there are usually the most surefire way to calm down any uneasiness I think.

Well, Tuesday is come and gone, so i guess it's time for me to present you with the last piece of info I have.

On Friday, August 29th, the Hotel will be utilizing the Exhibitor's Hall space until 2:00pm.
At 2:00pm DWA will move in and set up the pipe, drape, tables, and chairs for us. Once they are done, then and only then can the vendors and artist move in and begin setting up their individual booths.
I do not currently have an estimate on how long DWA is estimated to take.

The hotel's stats on the Exhibit Hall are listed on this document

under the "Exhibit Hall" entry.

The room is listed at 17,067 square feet.
The ceiling height is a comfortable 8'6".
Their suggested capacity is 87 booths that are 8' by 10'. Since Kumoricon traditionally offers 10'x10' booths, we can assume there will be fewer booths total.

Here's where our speculation begins.
Mathematically, an 8x10 booth is 80% of a 10x10 booth.
So if we say that the capacity will be 80% of what the hotel listed that puts us at 69 booths total.
Presuming again that the lions share goes to vendors lets say that Artist Alley gets 30% of the booths.
That suggests 20 Artist Alley booths and 49 vendor booths.
The vendor booths tend to get get gobbled up pretty quick since some vendors buy a block at an end cap or all in a row, so lets bring that number to 40 actual vendors. I don't think that anyone in  Artist Ally has been ambitious enough to get more than one booth in the past so that estimate is stable.

So, with pure mathematics and hypothesis that is NOT BACKED UP BY ANY OFFICIAL NUMBERS from the staff this year or from 2005....
One could guess that there will be 20 booths in Artist's Alley and 40 booths in the vendors area.

Thank you, Tom.  You've been incredibly helpful and thorough.  You've gone out of your way to do a lot of things that you didn't have to do and we're really grateful.  :D  So... Gold star for you, man!

However, this still doesn't make up for the fact that the actual AA and Exhibitor coordinator hasn't been active.  Despite what John has said, while I appreciate that he's trying to get things situated, we've been told that the email problem has been fixed numerous times and she's had ample oportunity to post on the forums.

I realize that it's been said that the 'Staff doesn't come to the forums', but she has been asked several times to make an appearance for lack of any other way to get ahold of her.

I'm not trying to point fingers or badmouth anyone... But I do think these are issues that should be taken into consideration.  That's all.  Thank you.

You can add me to the list. I was actually contacted by Eric before the switch over and had my table confirmed (only because I forgot to put my birthdate down).

Many of the upper echelon staffers do not frequent the message boards. They communicate entirely via email. Some of them can't go on the forums due to the constraints of their job, but can do email at work. A lot of them just don't come on the forums because they don't go online much, that still happens even in this day and age.

I can't speak for all of them, or any staffer specifically, but the board has never really addressed issues that came up on the forums unless they were notified about it in some other fashion. The board is "unofficial" in a lot of people's minds.


Enough of us do check the forums frequently, and we inform the rest of the board or the appropriate director/staffer if there's any important issue. Unfortunately the problem isn't so much that certain staff don't read the forums, but that it's hard to get ahold of them at all. :( It's not that many of the upper staff aren't aware of the issues with the exhibitors hall and artist alley--it's just that we're needing to pound on the two or three people who are more involved with it and are in a position to make progress and work on the situation, and we don't have additional news to report at this point beyond what's been said. All I can add is that at this point a little more time is probably needed for all the gears to fall in place. I know that's not a very helpful answer and I'm really sorry about this situation.

Though I do have  question, if one were to grab an empty table on the first day of the convention, what would the process be for that? And what would we be paying for that table at that point considering we would have already paid the normal registration fee?

Probably the first thing to do is find the check in point for the artist alley/vendors and talk to the people there. I know from the past couple of years, one needed to check in first to get pass and secure table.

You can also ask this question at the meeting. If there is enough people and not enough tables, they put up a waiting list, but don't quote me on that.

Added you Spaztic, but I think at this point just getting ONE table is hard enough, I'm thinking it may be pretty hard to snag two tables since we may have such limited space. And as far as contract, I think some of us here may have it still that could possibly email it for you to have at the ready.

And thanks Misuteru, hope you enlighten us on what you find! I figure there may be some sort of waiting list, there has been at many of the conventions I've attended. In the contract it states that if someone's a no-show by a certain time, then the table is open. So just make sure to get in touch with  the coordinator early on! I say just bring your money, bring your signed contract and see what happens. :D

I purchased a table at the end of last year. I never received any conformation but my cheek did clear so I'm assuming I have a table.

Yep, I'll be sharing a table with GenkiIchigo (thanks!). :) After 4 months of trying to get a contract and never getting a response I gave up. I think I actually prefer sharing a table, so that may work out for the best.

Well, what really bothers me is how many people have sent payment and had it cleared, without anyone knowing how many tables there are. (staff included). So what happens when all these paid table attendees show up and there's lack of tables to go around? Big trouble, thats what.

I highly suggest anyone who has a confirmed table (payment cleared), to try and partner up and share with someone to make sure there's space for everyone. It simply doesn't look like there will be enough tables for everyone. (I could be TOTALLY wrong here!)  These tables are pretty big, there's space for people to share for sure! Besides, sharing is a blast and good way to meet other artists :D!

Edit: Looks like the Coordinator is back and active at Deviantart! Thanks for sharing the info. I would just like to remind anyone who might run Lori down at the fair about the AA to be discrete about (aka don't cuss her out infront of customers and other artists.) You might actually get what you need if you ask nicely (or not, no guarantees, but at least you don't come off as jack***)

Sharing tables is a good idea for most....especially as a plan B. I am confident that there will be plenty of room for everyone.

LOL Sadly I don't think I'm doing much of anything other then stirring up awareness and being paranoid as hell. But thank you either way! I don't think it's just me either, a LOT of people are trying to get attention and get answers!

Annnnd fixed the list, by no means is anything official about it, but I do like to try and see just how many people are expecting tables. Maybe give some order to this crazy mess.

i know. :[ im paranoid as hell too. Im not s*** talking cause being impolite will get me nowhere, however i know that helping run a con event is hard... Im not an optimistic person by any stretch of the word but... :/ all i gotta do is hope. And maybe hope that someone whos already paid will share with me if i go to that meeting on the 19th in vain.

I think that we're all still waiting for replies as to the status of our contracts. Some are still waiting to hear if they can get a contract at all, like you are. Hopefully there will be a solution to this soon. I know that it's being worked on. I don't think that there's a phone number that you can call, as we have all just been emailing and hoping for a response.

And yet, still nothing. I'm sad that Eric isn't the AA coordinator! He always had updates for everyone. Esp. this close the the con.  >:(

I'm sure he would've been glad to do AA, but the con really needed a Treasurer and he was willing to shoulder the burden.

At this point, the Exhibitors/Artist alley is booked or overbooked. More details will be disclosed within the next two weeks.This is decide which it is at this point. This is do to several factors: a change in layout plans just received recently and two, an over distribution of AA contracts (aka someone started passing out contracts without notifying Relations about it.)

Those who paid by check and it was cashed - that is a confirmation that you are in.

Those who are still waiting need to hang in there. They were going through contracts today after the meeting and Lori took a whole stack of forms with her.


John of Relations is working hard to figure out the best plan to move forward in a what that will benefit the most. I tried to take pictures of the exhibiting place and will post them if anyone is interested.

And if anything I mentioned is incorrect, please correct me. I am just reiterating what was mentioned in the meeting.

I wish there could be more answers to our questions but this alone is at least SOMETHING to go by, thank you so much Evaldas for giving us an update. And Lori was AT this meeting? That's good to hear! I had figured the AA was booked by now, although I am sad to hear that forms were being passed around without consent of Relations. Seeing that Relations was so involved, makes me feel wary as to how big this whole mess must be. I hope this meeting helped to resolve issues they've been having.

I won't whine too much because I know I'm at fault for forms and not registering early, but it's one thing to know I can't get a table, and another thing entirely to not know because there isn't any communication going around.

Sucks to hear about last-minute changes though.



On the flip side, after the Kumoricon, there is Festival Japan at Uwajimaya.  I'm planning on getting a booth there now.  Perhaps if there's enough interest, we can apply for a double booth or larger booth, and we can all sell there.

Thanks again Tom, for the videos! It makes me feel a whole lot closer to what's going on and being said. Although there were a few things I couldn't understand (aside from Krall, he was loud and clear). But it was so good to hear this actually addressed formally, and hear that it'll be fixed before the convention. I will say for one, I wouldn't mind a 8x10 booth instead of 10x10, so I think the idea of shrinking the size would be pretty beneficial to people.

The only thing that rubs me the wrong way, is mentioning how the AA/EX Coordinator is receiving "Flak"...but not mentioning the reason WHY she was. There was a VERY valid reason for it, and it wasn't because someone was handing out contracts, in fact the flak was long before that seemed to happen. The reason why, had nothing to do with the over-flood of contracts, and if anything, the reason for it caused that flood. Lack of communication seemed to get people paranoid, and unfortunately the person that handed them out may have thought something was wrong, and took it upon themselves to share it with others. And saying "Don't be mad at us, be mad at that person.." is in very bad form, and came off unprofessional. People were mad about something entirely different, sadly. Although I wish they hadn't handed contracts out, since it is pretty clear on the site you need to ask for one in the first place.

I don't feel the number of contracts should have had anything to do with this. There (I thought) was a designated amount of space to begin with. You get a contract, you clear it, it's done, you keep track of how many thus far. How come there wasn't any communication between Relations and AA/EX Coordinator over this? How could an overbooked amount even happen? I'm kind of confused. Were they cashing checks without realizing the space they had to begin with? I just feel like there's more going on here, then we're being told.

And why is it that at the meeting Relations says they are overbooked, and yet Lori took more contracts? That feels absurd. They complain about being overbooked and having too many as it is, and yet have not cleared up the issue before they're taking money and contracts from people at the meeting? I don't get this. If they had counted the people bringing contracts to the meeting, I'd understand, but that's clearly not the case considering someone asked him a question right off the bat about bringing the contract and check to that meeting. If they're seriously overbooked in the first place, I would have NOT taken contracts without first clearing up who had and did not have tables squared away. I understand now about the contracts that were brought to that meeting, thanks for clearing that up guys!

No need to answer my questions, but I will be saving them for when I find the appropriate person to ask.

It is nice to know what's going on, finally.

Eh..Well I wouldn't mind a smaller space but I did pay for a 10x10 space and if I'm getting an 8x10....well I don't know. Just worries me a bit.
Would the table size still be the same? Are people going to get refunds if this happens?

I also agree with Neolucky about the "Flak" comment. She had a job, and she didn't do it very well.

Even is someone did spread the contract around wasn't it her job to turn people down if it was full or not?
She's the one who should have watched the contracts come in to make sure it didn't get over sold.

Well I'm glad to here a cashed cheek is as good as conformation, I'm still a tad anxious about the overbooking.

I also agree with Neolucky the "Flak" comment along with the "Don't be mad at us, be mad at that person..". Do they actually count the number of people in artist alley by the number of contracts sent out. It seems like they should go by the number received and just cut it off once the the tables are all taken. Maybe it doesn't work like that cause the coordinator is so far away but it just really seems backwards to me.

That is a great point. I hadn't thought about it, since I think my head was more in "Compromise just to make sure I get some table space" mode, Heh! But yes, considering what we paid for, I would think if things were sized down, a refund of some sort would be fair. We'll have to see what their decisions are about the revisions and changes.

I hope all these matters will be taken into account and suggestions will be looked at for next year to avoid such things next time around! Looking forward to any other information that's provided before and from the next meeting.

All of the old guard are presenting a united front though and nobody will see the other side of the coin. That is, your side. If too many contracts are sent in then STOP APPROVING CONTRACTS. I thought that the problem was none of you knew whether or not your contracts were approved. Was that somehow wrong???

Anyway, be mad at whoever you want, it's a free country.

 ::) Riiight.

Now as far as the contract the they took during the meeting itself, that was with NekoPan Bakery. The convention has an outside arrangement with them that guaranteed them a vendor's booth. Trust me on this one, they had been approved last month they just couldn't get the paper work (sound familiar?).

Also, what Lori took for contracts were already been stamped and needed to be processed. These were not necessarily new ones from that day. But, yeah, I completely agree about the process and how much it epically failed this year.

I just hope that they don't choose to separate Exhibitors from the Artist Alley and put the alley in some hole in the wall.  This is a symbiotic relationship that should not be split. It may just make perturbed artists more so when the people don't come. This was apparently the case one year (before 2006).

Well, I can't say what hasn't already been said, so I'll leave it at that. 

I am glad to know that those of us whose check have cleared have been confirmed a table, but I do worry for those artists who paid cash up front at the end of the last Con, or are still sort of in limbo at this point.  Well, since SJen is confirmed that she's unable to make it to this year's Kumori, and I've gotten a similar confirmation from Starxade who I am sad to hear most likely won't be making it either, I am willing and able to share half of my booth space with another artist.  I think my stuff will fit fine on half the table, which is pretty lengthy in and of itself.  I remember my own first Artist Alley fiasco, which really was my own fault for getting my contract in so late, but it sucked also because I left SJen hanging w/o a table, but I was well informed for the wait list, so I had a bit of a learning experience that year, but I was given a fair chance, and for that I was thankful.  (Thanks Eric! ^_^)  But yeah, I'd hate to see someone go through the sitch that I was in, so we'll see how things pan out and see who still needs a place to set up shop. ^__^

Seeing what is happening, I'm kind of glad that I was planning on having the balcony of my suite by the pool being the equivalent of the Pocky Club Booth this year.

Aw thanks for all the info. I feel much better knowing a little more about what's going on.

As for the problem, part of it was that no one knew who was approved and who wasn't. We didn't really know anything else either. People have been popping up until recently going 'hey, I've been emailing since February and gotten no response. What's going on?' That's probably why someone decided to send out contracts. Not that it was the right thing to do, but one post from the coordinator probably would have reassured everyone and stopped it from happening.

But anyway, it's great that progress is being made. Everything lately has been good news to me! n.n <3

Edit: The 8x10 booth deal sounds good to me too! If it means they can fit a few more booths in it would be great.

These are what problems I feel were the biggest issue over all:

1.) BIG Lack of communication. That is the MAJOR problem.
2.) No confirmation for those who had paid, whether from recent, to last year.
3.) Inability to contact persons in charge, to GAIN information.
4.) When contacted, it was on an unreliable source. (Deviantart)
5.) When information was given, it was vague and unclear, or incorrect, or unprofessional.
6.) contradiction's when contact is made. Told one thing, then turned around and was told something else. LACK OF CONSISTENCY.
7.) NONE of this information was reflected on the official website. This alone could have helped avoid a LOT of problems.
8.) Instead of "We're working to fix this" it was "It's not my fault! Blame _____" No. Placing blame on the "System", on a "Person", on "Email" or something else does NOT help the situation. This was done constantly by the AA/EX coordinator, and now by Relations.
9.) Coordinator was absent? Not doing what she was meant to be doing? NONE of this would have happened if you had a professional, knowledgeable, competent, experienced and readily available coordinator for Artist Alley ALONE. Hearing that she was taking on AA and EX felt wrong, it was too big for any one person to handle.
10.) Obviously things were not clearly defined to staff (Coordinator, Relations, ect) until it was TOO close to the convention! Again, left hand doesn't know what right hand is doing. Isn't this a team effort here? Department or not, you gotta have contact WITHIN the ranks.


I could, sadly, go on for a long long time. And I'm sorry if it comes off as ranting, but really these were some serious issues that were brought up to a lot of higher end staff MULTIPLE TIMES and brought to attention REPEATEDLY and were not addressed early on. Maybe they weren't taken seriously, but if those involved would have jumped on it way back in January, February, March...things could have been avoided. I am sad that only NOW it seems efforts are being made to fix things when they were well aware of issues ages ago. We have six weeks left before the convention itself, these issues to be fixed BEFORE then? I echo Tom here. RIIIGHHHHHTTT. Should I be pointing out planning, prep time, finances, travel and logistics come in to play NOT only for the con, but for those attending it. Shoving things to the last minute will only make people bitter and angry, and not want to return.

I will say again, as I've told people many times, I love this convention. I've loved since I first started coming, and the reason why I complain as I do, is BECAUSE I care. Just because I was confirmed for a table, I refused to just let it slide. There are so many great people that want to simply BE there, it's a huge compliment to the convention. I think I feel brushed off as an artist and as an attendee because of this situation. I am of course going to attend, but now with a bitter taste in my mouth because of this.

I'm pissed, other artists are pissed. And we have a valid reason to be.

I agree with you Neolucky, especially as another vendor that sold last year.  But anyway, how do I get on the waiting list?  Emailing exhibitors or programming?  Or is it just first-come first-served at the con itself?


For those who worry that being in a separate room might be bad, it might not be.  I've done very, very well at a con that kept its AA separate from the Exhibitor's Hall.  (Kawaiikon in Hawaii)  The way that was managed though, was that the AA was open longer than the EH.  So once the EH was closed, the AA was flooded.

I've had better sales away from Dealers rooms, then being pushed in with them, I'll admit. Although I like the way Kumoircon's had it set up. I simply just don't want the artists to be shoved in some unfamiliar, hard to find, random place just to "make people happy". They need to stop trying to make everyone happy, and start thinking logically about this. In the BEGINNING of this thread, Lori said there was 20 spaces, right off the bat. (After seeing half of the alley was full from last years contracts). So from that point on that had an estimated number. Also, I believe the dealers close before we do anyways, so it doesn't matter if we're in the same room with them I think, they just shut down shop before we do.

As far as waiting list? Uh...er... Yeah. I'd just come to the convention and *hope*, I don't think you'll get a response from email, since they seem overbooked to begin with.

2007 at Sakuracon was the time AA was in the big open room in an out-of-the-way area, right?  I don't think I found the AA room until the last day.
Over at KawaiiKon (the one in Hawaii) they had the artist alley and the dealer's room separate.  And I have to tell you, I have never hung out in the artist alley section that long before.  The space was nice and there were some activities and contests going on to get people in.  Also, the Dealer's Room closed an hour or two earlier than AA so when DR closed, people seemed to come over to AA.
Just thought I should share that experience.  (I didn't have a booth there, I hung out with friends)

Negima - Yeah, that was the place. A large portion of the attendees did NOT find the AA until the last day, if at all. And for some reason when I asked staff to put up some sort of sign leading people there, I was pretty much ignored and said it was a hassle. Huh.

I'd like to state that I just bought a table and attendance to a new convention coming up called Aki-Con, and it took...maybe... 48 hours to get finished? Their process for Art Tables is amazing. You email, get the contract, send the contract through email for verification, they approve, then send you the link to pay them online for it, then and ONLY then do you send your contract in the mail. I think in the future, cons should ADOPT this method!

So, are we all waiting to see if there really is a problem with "overbooking" or what?  I also sent in a money order, and want to know if I'm confirmed to have a table.  It's frustrating, because I have a group going and they aren't registering till they know that I have a table, and I want to know if I need to get to work on the things I'm bringing to artist alley.

I don't know if I'd wanna be in a garage again, it was so ridiculously hot in there, it was uncomfortable to draw in there sometimes.  Though I may not complain if that means I can still have my table.

I heard somewhere that the coordinator has overbooked by 12 tables, is this true, and if so, will I be getting a full refund if I do not have a table?  In the contract it states that cancelled tables get a full refund (minus $20, I'm assuming for a fee) but this wasn't my fault, so I would really like a refund in full if this is true.

XD If the garage will be comfortable I think it's a good idea. Last year the dealers room was a little scary and claustrophobic because it was in the parking garage (to me anyway). If it's not going to be too hot or too dark it would probably be great though!

Ouch, 12 tables over is a lot. I hope it's not really that many. I think the contract probably only means that if you cancel you need to pay the fee. I don't see why you would be charged for something that wasn't your fault.

Well this is interesting, people who still have sent money and contracts in have not received confirmation? I received my official e-mail confirmation from Lori stating that I had my table and I was confirmed for the AA and the convention. I'm still perplexed that she has either not responded to other requests at all or... I don't know what else could explain a lack of communication other than a lack of commitment to the customers  :-\

I hope everything works out for everyone, I'm really disappointed AA this year totally got botched.  :-[

Note to all, the garage comment was just a joke. Sorry.

The garage at the Hilton was hot and humid because of a failure to ventilate properly every night, it could have been a lot better. It was clean and reasonably lit in most sections.

The Doubletree garage however is exactly what one would expect from an old parking garage basement. Dark Dirty and stinking of exhaust. It is connected to the basement loading docks of the hotel and there is a near constant background rumble of trucks, deliveries, and machinery down there as the employees go through the business of the hotel. It is not a good location.

I make the joke about putting vendors (or gaming, or creation station) down there as a play on the fact that these are groups that typical get (or think they get) a raw deal and a bad reputation. Anyone who has every been down there would immediately know that the convention would NEVER do something so horrible. I'm sure that if the extra artists were put down there at least a couple of you would get sick from the fumes and the several more would probably leave the con early and never come back. Or at least demand refunds.

After the mention of a refund clause in the contract I can see why they were so quick to blame their mistake on the contract being "leaked". It's well known among the meeting-goers that there is a broad "NO REFUNDS" policy for everything else in Kumoricon. If there exists even a single contradiction of this policy every other instance where the convention is paid money is at risk.
Good to know. It's things like this that keep me watching every corner of the forums.  ;)

Lol, that garage sounds scary! I'm glad we won't be down there. I wish I could get up there to the darn meetings to see the spaces ahead of time. Once again, Tom you're the awesome sauce for keeping us all informed! XD

PinqFuu: I think you just got lucky in getting email confirmation. I for one, haven't heard anything from the exhibitors address even though I've emailed it with questions about table status. >.<;

Someone on DA (an artist who was trying to get a table), she's friends with a staff member who attended the last July meeting.  I'm still considering it a "rumor" but that's what her staff member friend told her.

So wait, I'm a little confused, does that mean if artists who paid, who get possibly booted because tables were overbooked, will not be getting refunds, at all?  If so, that's baloney. =/

After taking a few minutes to sit and think about the whole "overbooking" ordeal...I wanted to state that I don't think it's entirely the leaks fault. Because it felt like there were so many in the first place, not to mention previous attendees from last year having contracts. And to blame it completely on a leak of contracts and not on their own incompetence, is absurd. I think it's a huge mixture of problems (As stated long before this post), and I want AA/EX coordinator and Relations to own up to it. I'm tired of hearing blame being placed on something/someone else, and no responsibility taken for this problem. Being told "We'll work on it, it's gonna be fixed in the next few weeks." Is...well...no. Just no.

They need to not waste time searching for which contracts were leaked ones, and take a look at the DATE of each one, and make a cut off point. It'll suck, I understand, for those coming into getting a table late in the game. And they NEED to give refunds for those of us that sent money in, but were never given a table. No if's, and's or but's. There HAS to be a refund involved - Because if better communication regarding a AA/EX list had been given, then this would have never happened. I'm still boggling over how in the world you can overbook something so close to the convention itself.

Still no other news, anyone?

I went to the meeting yesterday. Neither of the coordinators were present, and the staff had nothing to add.  Side note: for those who want to sell stuff, the Print Shop and Art Show are also options.  http://www.kumoricon.org/forums/index.php?topic=7157.0


And I'm really sorry to say this Tom; you're a really cool guy and all, but off and on I kind of feel that what you have to say sometimes makes the situation worse.  I know you're clarifying that what you say is just speculation, but it seems like people take your word for what's going to happen, and then run with it.  I don't really know how to say this >___>;;  But thank you for your work.

What we need is the coordinators to come out and give a status report; has anyone at all (in staff) been in contact with them?  Even if the situation has gone to complete hell, it's better knowing that than nothing.  I also volunteered to work as staff for them, and am waiting for a response.

I got an email on July 15th when I needed to add Miss L on to my contract that she would send out confirmations, and I qoute from the email:

"I'll be sending out confirmation e-mails within the week, and check-in instructions after that."

Since then, nothing.

I wholly agree with this as much as it kind of leaves me out (which really just leaves me peeved at the AA coordinator for ignoring my e-mails for 6 months(I refuse to believe any e-mail was down for that long), since I couldn't get my hands on a contract until late June. Never sent it in because of the fear I would send in money and it would get lost somehow(I really can't afford to have 80 go into some black hole where it doesn't do me any good) The not sending it in is my own fault, but having to spend so long just trying to get an e-mail response :/

haha and I also attended the meeting to see if I could get any new information, only to find that it was kind of a waste of my time :/ not happy about having to drive to Portland for basically nothing. xD I guess though I'll take this as I need to register for the con normally (I've been waiting on the artist alley thing for so long I kinda feel like I've been tricked into paying more for reg xD)

lol but and answer if it is being moved to another room or not (lol like..flat answer please) would be nice before I reg if there's even a chance I can still squeeze in. If not, I guess I'll just visit people in the AA xD

This whole ordeal is ridiculous.  So even people who attended the meeting to get information got nothing.  We've all been waiting WAY longer that we should be considering the convention is in 26 days.  Many artist who have been confirmed and those who have not needed to know LONG beforehand whether or not the situation is handled and we have tables.  Many of us getting tables spend MONEY on getting items to sell at the convention, and most of us are just sitting here, I won't spend a dime on something knowing if I don't have a table.

Last July meeting you said it would be settled by yesterday's meeting.  It wasn't and those attending heard nothing new to add.  Your coordinator wasn't there (surprise surprise) and nothing.  THIS NEEDS TO BE SOLVED NOW.  I have friends waiting to register.  If something can't be done and there is overbooking, refunds need to be issued PRONTO.

Don't blame it on the contracts.  Seriously, at the end of the last years convention we were all given contracts (that could EASILY be photocopied) and even then, the person handing them out did a few laps around the alley to make sure everyone got one that wanted one.  We were told to hang onto them.  Maybe people sent them in earlier in hopes of just winging it to get a table.  We were never told when AA opened.  Lack of communication, pure and simple.

$80 is alot to have sent out to a convention, I for one wouldn't like to just lose it because of someone else's faults.

Which scares me, around the 20th I got an email saying she had a table for me, but she didn't email anyone else that I know of around that time.  =/

We really haven't gotten too much concrete information in here, other than the coordinator needs to step up and fast. At this point, I'm wondering if we're really going to have a coordinator at the convention.

I'm trying not to be negative about all of this, but it's been a really hard way for me to start out doing AA. I was nervous to begin with, but now with only a few weeks to go and no word I'm really stressed out. It has me wishing I'd waited another year to try this. >.<;

Oooh yeah, I get it now. For a minute there I was like 'OMG what do I do if I'm not really confirmed?' I could understand wanting a refund if I were in the same boat as you guys that sent money orders, etc.

I'm trying not to be too stressed out about it. Knowing that we're all going through the same thing is a strange comfort. If nothing else I feel like this has brought us all together a little bit. I probably never would have talked with half of the people I have before the convention, had there not been problems. XD

First off, I NEVER believe someone when they say that.
Second, don't be sorry. I cause tons of problems. It's my unofficial job.

I walk a very fine line between being a jerk to everyone and being super duper helpful. I want the convention to do good and make enough money to come back next year. I want to keep Kumoricon from falling prey to schemers and lawyers and people who are in it for themselves (well, I'm not talking about Vendors, that's their job). I want the convention to survive and that means that we keep everyone happy on both sides of the fence.

However, keeping everyone happy is impossible. Literally.
So I take great pains to piss people off just enough.
The best way to shut me up is to prove me wrong. Jeff did it in this thread.
Operations staffers did it on my livejournal once.
However, there are lots and lots of people who supply more and more fuel to my wild conspiracy theories and suspicious rumors.
Once there are nothing but responsible people taking care of things and clear + timely explanations for what does go wrong (I know better than to expect perfection from anything I'm involved with) then my energies can be diverted to all sorts of other things.


If I did not think of the convention's best interests, I'd still be a volunteer and NOT STAFF.


Note to certain people who probably aren't reading this:
You've gotta be staff to change things. There's no other way to close the gap. :D

The artists alley was overbooked 12 tables. I was there and heard her say it myself.

Oh I bet more then just Mike was pissed. The fact no Relations staff showed up to a meeting so close to the convention? Is grounds to get them off the entire team. Is there any way I can lodge a formal complaint to the CHAIR of this convention? Granted I'm sure they're well aware of this stuff. This is the kind of thing that can really hurt a convention permanently, and in the long run. (The whole situation, I mean) WHY are these people still working for Kumoricon!? Can they GET someone else in here to figure everything out?

Genki, if it helps, I think I emailed you twice in the matter, and I'm sorry for bugging you about it. I didn't know what was going on, and right after I sent you the second email, I found Tom's link to the meeting. What a crappy situation.

From the sidelines and from an outsider, all I can say is hang in there and do your best. You can't please anyone, and chances are you'll have a few snooty artists bitching you out. As a person who wanted to be in Artist's Alley, though, once I found out the situation, I got over it. I'll just try for next time. Haha it's ok. I don't mind emails or anything. You probably couldn't bug me if you tried. In the beginning I was kind of freaking out for everyone else also, wondering whether anyone else was actually going to get a contract or not. I guess too many people got contracts in the end though. XD

I'll be just fine. I'm just having first time stress + worries over the whole mess. It'll work out in the end for all of us though I'm sure. I'm a bit of a worry wart sometimes. I'm just hoping that this year will make every other year I decide to do look like a piece of cake. n.n;

Ah...I hope you do make sure and read back on this entire issue before making any assumptions to whats happening. This is a lot more then just " a few snooty artists" (this also includes all the Vendors too! And to be frank, NONE of us here have been snooty at all.)  and there's been a giant mountain of suggestions thrown out there for both sides to look at further back in this thread. The fact of the matter is, the people who are upset, are people who have already paid, and been dealing with this since last year. We're all kind of 'freaking out' for a reason here. It's a little hard to simply get over it, when you've already paid and been waiting for a table for the better half of an entire year...especially when the AA Coordinator never responds, doesn't show up to meetings and then THEIR supervisors do the same thing. This is more then a learning experience, and a situation that should not be belittled at all.

Don't mean to jump the gun here Lychee, but I got kinda confused to your post regarding Genki (Who certainly has not freaked out that much =p) and it kinda seemed like you hadn't really looked into this whole issue before making a post.

Neolucky, my comment comes out of sympathy and a little bit of experience with kind of being thrown into situations. Given I've never been too involved with Kumoricon other than a mascot entry, a panel, and attending, but my main thought process was I'm sure Genki's having something of a hard time right now and assumed they were getting crap.

I'm not saying all artists are snooty, but when I informed my friend, she got huffy over the situation that we both don't fully understand. For using that as a base, I assumed that the artists who were actually involved with the mess were more angry. Because I know I don't fully understand the situation, I'm assuming the best for the people in charge. This does not mean I'm blaming the artists, either. From what I saw on the meeting video, a contract got printed out and passed around without Kumoricon's knowing. If this is true, then its no one's fault. Kumoricon didn't consider the possibility of that happening nor did the artist consider the consequences of doing that.

 Please excuse me for being naive on the matter. I don't feel the right to go based off what I know and just start saying negative things. I guess I'm trying to be an optimist.

Maybe Genki's trying her hardest to remedy everything. Maybe she's completely messing things up. I know from my own experience that just negative commentary doesn't always help a situation. I was hoping, uselessly, that maybe a word of encouragement might help. There might be stuff going on outside of the forums, too.

I guess I should've just kept my mouth shut. So much for trying to be nice.
Neolucky, I hope things work out in your and the other artists' favor. Genki, my previous comments still stand. Hang in there.

Ah, don't feel the need to back out at all, Lychee. I think I'm just confused more then anything by your comment about Genki. But support is always helpful and thank you for your optimism! Unfortunatly at this point, it seems all of our own optimism has run very dry given the facts we've been told.

The problem really isn't Genki's fault, or any of the artists fault... it's just staff (AA/EX Coordinator Lori Collins, mostly)  and the fact that we're not getting any help from them to remedy the situation.  We just want things cleared up.

She can't remedy anything in this situation, nor can she mess anything up. She's not staff, and she's been patiently waiting for answers, like we all have. All of this was happening *long* before that meeting, and you can get the full gist of it by reading this entire thread, trust me. I really recommend reading it.

Yeah, there's not really much I could do either way in this situation. It's great to see some optimism though! Early on I was talking to people when I sensed that there was a problem, but beyond saying what was going on there wasn't much else that I could do. Besides, I don't really think that there's too much anyone could do to mess this up anymore than it is.

Oooh, I didn't think that part about getting chewed out was directed entirely at me. Peronally, I've had nothing but great experiences with the other artists here so far. Everyone is really nice, even when the situation makes it hard at times. If nothing else, I'm excited to meet everyone at the convention. n.n

Anyway, yeah, this has been going on for a really long time. It would be great to get a little bit of clarification. Just one clear post from our coordinator would be great. Any bit of information would be great after this long, lol.

I emailed the AA coordinator, on the exhibitors email, about two weeks ago about changing some names on my contract and got a response in two days. I was very surprised. At first I was really happy but then I realized she responded to a me but continues to ignore almost everyone else here. That really bothers me, If she can respond to me in two days why can't she respond to everyone else who contacted her long before I did? I realize my issue was small and easy deal with but if your managing something you need to deal with all problems that arise not just the easy ones.

Actually, I think that one is a coincidence.  It seems like she did a mass responding to emails around July 20th-22nd, and your query would fall at about that time.  If she is ignoring people, that would suck, but let's hope that this is the case. >___>  Although really she should be hitting the emails by now.  No one's gotten a response since the 20th, is that correct?

Actually, I'd like to point out that the AA coordinator has updated her personal art page with new art only 2 days ago.  During this ordeal I must admit I've been a little snoopy and popped by her page to see if she was active.  Unfortunately, she seems to have enough free time to work on her own stuff... But not to work on doing the job she signed up to do.
As I mentioned before, I politely noted her (June 27th), suggesting that she should stop by the forums and update everyone on with what the current situation is.

Part of me is wondering if she's just dropped out of Kumori-con and someone else is handling her job...  or if she thinks she should ignore us because she assumes we're just 'stirring up drama'...  When, really, we just want a few simple answers.  If we could know what the hell is going on then we'd probably shut up...  At least I know I would.  >_>

At this point, I don't see a reason for going anymore.  By the time anyone gets back to me, it'll probably be too late for my friends to pre-register.  I have nothing done for the convention, because I have no confirmation my payment was even received.  It should be realized that most people who attend an artist alley need to spend money on printing costs and other art related things, which was supposed to be done last month in order for me to receive it this month, and without knowing I was even going, this was not possible, and it's no longer worth it to go.  It's too late to plan anything now.  At this point, I just want a refund, and I want to forget about this whole hellish situation.  I'm tired of being ignored, it's a seriously stressful situation.  And I'm not about to lose $80 over this bull either.

I'd even give my table to someone else, if by some reason they do expand the AA to meet the overbooking, if I have to do it that way.  Maybe they can just pay me and give their contract to the coordinator instead.

It sucks that you have to pull out and stuff.... But I dunno if it'd be a wise idea for you to have someone pay you $80 for a table 'cause there's no guarantee they'd get one since THEY never personally filled the contract.  It would be even more of a hassle for them.

There are plenty of staffers who are helping or are keeping their ears and eyes open for information to pass on. This is an ugly mess and everyone I know is working hard to make the best of it.

And all for what we know, the reason they are not answering is because they are working on the problem. ^^ I think this was mentioned before.

As soon as I learn something, I will post ASAP.

Right now I'm using that option as a last resort if they can't give me a refund.  I figure I will just tell them I'd give my table to someone else, and once it's confirmed, that person can bring the contract with them.

I contacted all the people I could to try and get a refund, it's just not possible for me to go and have it be worth it, and continue to keep my friends out of the loop.  So if all else fails, and they don't reply, I'm gonna try for the last resort.

I paid in cash (all the cash I made at the show and then some for Gothic fish, tranquillity Time and myself, the oter two paid by check.
     The only confirmation was what I heard from Eric T that he had seen the contracts, and that he handed the whole stack over to Lori when were all at the artist Alley at Sakura-con 2008.
     No E-mails from Lori, Nothing....

And probably none to thrilled.

See, now I'm tempted to make up my own faux artist alley badge with Matt Damon on it. And I don't even know why everyone was shouting it last year. Was there a reason? You know, apart from just the awesomeness? XD

I actually didn't layout stuff until a couple of days before the con last year.

I have been digging and since I have not heard anything back, there isn't anything to update. Hopefully someone from Relations will show up to the meeting on Saturday.

Since I've been emailing constantly to get a refund, I have some information I thought wouldn't hurt to share (since no one else from staff has said anything publicly here):

Apparently, the EX Hall has been finalized at 8'X8' booths.  But they still don't have a finalized list (which is what I'm waiting for as well).  They're hoping to have everything sorted out by the next meeting.

If we truly are getting 8x8 and not the 10x10 we PAID for and were contracted for, yes I think we deserve something in return. Granted it's not a lot of space to lose, and it's GREAT that they're trying to fit more people in. I am by no means ungrateful, but when I pay for something under a signed contract, I expect whats in there and I will push for some sort of reimbursement for the space being removed during the convention. I am not afraid to take it up as high as I can in the staff ladder either =p. (By this I mean above Relations because frankly they've proved themselves to be incompetent!)

I would like to hear this officially from staff however, so lets hope Relations shows up on Saturday to save face for their lack of response and lack of appearance during the previous meeting.

hotel suggests 87 booths at 8x10.....

The artists known as http://ramy.deviantart.com/ and http://amuria.deviantart.com/ on DeviantArt were recently seen at Otakon this year, cheating their way to get 14 artist alley tables in order to sell their work, via having friends lying to claim they were the artists at each table. I am unsure, but did they attend Kumoricon last year? And if they are this year, is there anyway to let someone above Relations know about their lying to mass-collect tables? What they did was disrespectful, illegal, and very underhanded. Details were provided from famed artist Robert Dejesus, and also seen here ---> http://nyanko-chan.deviantart.com/journal/19937388/ as well as a multitude of people who attended the con itself.

If they ARE attending the Kumoricon AA/EX this year, I will be doing everything in my power to boycot them at Kumoricon (And Sakuracon if they DARE attend next year!)

Ugh, yeah I just read about that Otakon thing too. Hopefully they're not coming to Kcon. I can't remember if I saw their stuff there last year or not, though for some reason I think I did. I can't remember anything specific though so I can't be sure. >.<;

I wouldn't really buy their art anyways. It's good, but it's not great. Every character in both their galleries have the same face but different hair and outfit or color. :/ That's a real shame. They do have lovely art, but if it is as you say, then that is pretty cheap. That's not fair to any of the other artists attending. That means I could have had a table if I had applied for it XD;;

Lychee: Nyanko says in her new journal that she deleted her journal entry on the subject because it was causing too much drama and she didn't want it to make the today section where it would cause even more. There are still some journals on the subject around if you look though.

actaully i don't think Kumoricon has anything in place that would stop someone from snagging a bunch of booths. now as soon as they had people at the booths trying to sell the art as their own, they could be booted from the con. since all works sold in the artist alley have to be made by that artist and not something being resold.

And given this artists track record for snagging tables, hiring people to BULLY attendees to buy things, and how his art is 99% fanart. You can bet people in the alley would complain ASAP about it.  Granted I don't mind people using 2 booths, or more for a STUDIO, but this is for one guy trying to get as much money as he can. But I don't think he'll be at Kumoricon, to be honest. His next is AWA. Or so he has said.

The contracts, the exhibitors one at least, says that the booths are 8x10.  So I guess they're not changing it too much.  Hope that there will be videos from the meeting today, as many of us cannot attend.  :)

Was there any mention at the meeting of sending out confirmations to people who've signed up for a table?  Now that they've reduced booth sizes, they should have a pretty good idea..

I know cashed checks are supposed to be a good indicator, but that's really not very comforting.

Supposedly, that was has already been done. Relations stated they contacted everybody, but apparently that is not true. :| I also did not receive an email, but I know I have a table(Eric confirmed that when he was still AA/EX manager).
It wouldn't hurt to email again concerning that.

Actually, if it is any consolation, Tom did some rough math earlier and pointed out that by making the spaces smaller, they were able to accommodate the 12 oversold tables. So I am 90% confident that you are in. ^^

Hmmm...  Were these confirmation notices to have been sent by Lori, or another member of staff perhaps?  Becuase I too have not received an email confirming a spot, but I did have a cleared check.  When searching my email archives, the only email I've ever received from Lori was the SCon'08 AA feedback survey.  This after not even having received a waiting list notice or confirmation of attempting to even trying to get into last SCon's AA.  With just twelve days till the event, I'm not incredibly confident that I'll receive that confirmation, but I guess we'll see. 
Am I on one of those hidden camera shows?

Relations did NOT contact 'everybody', not that I had expected them to honestly do it. I never got a confirmation email (I was confirmed on Deviantart from Lori however some months ago after an argument, and I'm bringing a printout of that very confirmation to prove this should I have to). I really don't like being lied to by Relations. Really, really don't like it.

Yeah, I know. The whole thing should have not gotten so blown out of proportion as it did. There is no reason or excuse. I know there is still a whole lot of unsatisfied people here and some of us are just less then impressed.

But for right now, let's focus on getting through this and making this a good year! We just need to make sure to make a small offering to the AA hall *lars, Matt Damon. I dunno if we would care for wine and beans...perhaps some pocky and sake?

I never got a confirmation email either, but I know that I'm already on the list.  My problem now is waiting for someone tell me if I can have a refund, or if they can let me friend take my table.  I already paid, I should be able to give it to whoever I want to. =/  Or if not that, get a refund, and let someone on the waiting list take it.

E-mail confirmations are being sent out to both exhibitors and artists over the next 24 hours. To calm things down a little bit, I also posted a confirmed list of both artists and exhibitors.

I'm not sure who said confirmations had already been mailed out, but that was incorrect. Those of you on the confirmed list may expect their packets in by weds. night at the latest.

103, actually. Part of the reason I have been slow to send out confirmations was me happily being able to add in a few more artists.

Um, the pdf I got was all the minute details about the lighting and extra services if I want them. All I was told was my table and gave me a map with the numbered tables. It does not tell me who all else is there and where they are laid out. That is why I am asking.
