well after todays meeting I am glad to see we have tons of space, the downstairs is PERFECT for the DDR/game room and im very happy to see that the LAN room will be seperate from that. now onto my only beef

this hotel has so many twists and turns that many may end up wandering around, and clogging up the halls.  So... We need a floor plan of the hotel and then we can color code the rooms and paths to each section.  all in all a relatively easy job if someone has the basic plans.  I just dont want a repeat of sakura-sons hallway campsites (ie: no one can get past cause we have 20 fan girls passed out in the hall)

anywho keep me up to date and we will see how it goes.

PS: im definetly volenteering for anything I can.  Id love to help in the LAN or DDR rooms as I fix pc's for a living and i fix game machines for a hobby.

Yeah, color coding is the way to go.
I think having a couple of arrows at the bottom of the main stairs pointing left and right. Anymore is unneccesary, you just need to know which direction to go.

The other thing that bothered me about the space was the coffee tables that they had in the halls, that's seriously ging to mess up traffic! Last year's sit-in lineup outside the video game room was hard enough to get past!

i meant color codeing the images of the map which we can post on the site for download and print :) but arrows and signs r a good idea as well

Oh yeah, maps are great but you can't trust attendees to figure out maps.
Big poster boards with arrows and lists.
Left: Panel Room 1 and Karaoke
Right: Panel Room 2 and Main Stage
Down: Video Games

i can read a map but i got friends who cant

i ended up walking from one side of the river to the other cuase the other guy couldent read a mpa and wouldent get on a bus

Just make sure they don't look like DDR arrows, or I can't be held responsible for random dancing I may engage in.

I remember myself actually having to cross reference the program guide against the signs on the doors repeatedly last year to figure out where I was going - I just felt like stuff mighta been labled better, but that may just be my ineptitude speaking there.  =^~.~^=

we do plan on having a very comprehensive system for people to find areas.  Our main plan for his is staffing the info booth with people that know what's going on at all times: meaning they can answer questions when someone walks up to them.  The info booth will also have a very detailed map of what is where, and when.  Security is also going to be informed what is going on at all times, and if there is ever any question, security can send someone to the info booth, or they can call planning and get the answer from the horse's mouth.  

In other words, we're going to make sure we are 20x better than SakuraCon was for people finding out what is going on where and when... and if our plans work, most people won't even have to ask... they can just look and start to ask... then shut up and walk to where they want to be.  :-)

Ah! I've got it!
The easiest way for people to find what they're looking for is to ask!
However it's a waste of time to go to the staff table all the time.

In order to make sure that there are easy to find sources of information around the con that people can approach, just keep the security staff well informed!

Not only does it help attendees but it adds an air of credibility to security personnel when it looks like they know what they're doing.

Actually, having an "informational video" playing in the registration line would be really cool!

You could have a tv rigged up where the people in line could see and hear it, and put a looping entertainment track in it.  Maybe have a short informational clip that repeats, and between it put a variety of other clips so that people don't get sick of it.

Like, /infoclip/ fanfiction-cafe-info /infoclip/ AMV-contest-info /infoclip/ interview-with-a-guest /infoclip/ karaoke-contest-info /infoclip/ a-few-humorous-blooper-clips-from-some-anime /infoclip/ opening-ceremonies-information /infoclip/ episode-of-red-vs-blue /infoclip/

You get the idea.  Like the stuff they show before a movie.  Maybe throw some anime trivia in there, some bits of advice...you could film the segments at a staffer meeting, maybe get a really cute guy and girl in cosplay to do the repeating infoclip so that people are less likely to get tired of looking at it...  It would entertain the people in line *and* inform them of con rules, basics, etc.

an excellent idea, and that does merge fairly well with what we have in mind.  

I really can't go into what we have in mind because we're still in the logistics phase of figuring out whether we can do it.  

But I will say this...

Rescheduling of events will be very clearly presented... events going on will be very clearly shown, and directions to them will be very evident.  If all goes well, people should have a 24 hour knowledge of what's going on.  That is, at any time, people should be able to see what is scheduled when, whether adjustments have been made or not.  

Further, our info booth will be staffed with people that really know what is going on... they will have the absolute latest information on any changes to scheduling.  Infact, a lot of scheduling will be taking place at or near the info booth.  Security will also be able to easily contact scheduling and get answers to any questions people may have.  

A lot of what we are doing should scale very well too... so it should be policy for forthcoming Kumoricon's, and I wouldn't be suprised at all if SakuraCon started doing something similar.  But... we shall see.

Dude, I got ups if you guys go in on FilkAeris' idea!
All you need is somebody with a digital video camera and a DVD burner!

You could film people going around to different parts of the hotel where stuff is, SHOWING people how to get there! The host could be someone dressed as your mascot Kokomo (name right?) and someone in a less appealing costume (hmmm... lemme think) could demonstrate things not to do in a sort of "Goofus and Gallant" sorta deal!

Man....that'd be awesome.

You know, having them look like DDR arrows and having different colors go different places is a really cool idea!  I could easily print them up on photopaper so they look really glossy and professional looking!

Then again, there's an idea... to make up for not having enuf DDR machines (because there are NEVER enough), just put a bunch of hand-made ones taped on the floor, then blast the music through hotel PA.  That would be amusing.
