Well, I may as well talk about this now, rather than later Smiley

We had a mix up when moving the online information into our badge/envelope printing software, and well... a number of badges got printed that didn't match their envelopes....

So if you ended up with someone else's badge, the best thing to do is to write "Return To Sender" on the envelope and drop it back in your mailbox. We messed up on this one, and we are adding some checks to our system to make sure it doesn't happen again. We know which badges got sent incorrectly, so we will be resending them soon. Sorry for the mix up. Smiley

Hey there Anime fans!

I just wanted to throw a topic down here to answer the majority of badge mail-out questions.

We mailed out the first batch of badges on Feb 20th, and will be trying to keep a mail-out schedule of once every two weeks.

Badges shouldn't typically take more than two weeks to arrive once we've mailed them out, so badges from the Feb 20th printing should arrive by March 5th. If you don't have your badge by then, please email registration@kumoricon.org and we'll do our best to resolve the problem. When emailing, be sure to include your first and last name.

The Vip bages will be picking up the same mail out schedule as the regular ones.

So if you already have one reg'd and haven't received it, look for it in the mail soon ^.^

I received my badge on Februbary 22. Today, March 30, I received a second, identical badge in the mail. Same name, number, and nickname. My brother bought it for me in December. I'm mostly concerned that he may have been charged twice. What should I do about this?

Here is an interesting one for you. I pre-registered for my badge and my wife's badge at the same time. I paid for both at once. They both had the same address to be delivered to. She got hers about a month ago. I am still waiting for mine. Any ideas

Well, I just got my badge today, so I haven't had any issues on my end.

I had to wait a little while for mine though. I think just be patients is key for the moment. Once convention time gets a little closer, then I'd be concerned.

Don't quote me on this but, I'm pretty sure they do things in categories: Adult, children, vip. ect. ect.

Staff badges will be either given out at con or sent out just before it, it is still undetermined. this is being done so people dont register as a staff member and then dont report in at con.

I will check on this, normally they are done in batches. We do print each category separately, due to different backgrounds.

Well, I e-mailed about not getting my badge the first time around when my wife got hers. I ordered them both on the same day. On April 29th I got an e-mail stating that my replacement badge was mailed and I should receive it in from 7-10 days. I'm still waiting. This is becoming ridiculous. I sent another inquiry in today and supplied my address again in case they somehow got it wrong between entering my wife in and then entering me in.

Please be patient, you will receive it.

*If there was an error in your registration info, your badge will be available at will call at con.*

Registration is run by volunteers, we are not paid for it, hence why we have real jobs. So give it time, you will get it.

***Vip badges have not been printed yet (due to batching), but will be soon.***

TO ALL: I was mistaken when i quoted some things i had heard. Because of that, i have removed my entries, and consolidated them here.
Please email registration@kumoricon.org If it has been over 3 months since you ordered your badge, and we have not contacted you.

On Thursday June 3rd, i officailly became Registration Manager. Because of that i have re-read all policies.

Here are some FAQ's

Do we have to send in a parental permission form with our order?
No, you do not have to. You can bring the form when you check in.

If we got our badge, do we still go to check in?
Yes, we need everyone to check in. At check in, we will ask for parental permission form if you are under 18. It is also where you will pick up your lanyard, badge holder, and swag bag (if available). Check in is also used to verify that your cosplay outfit follows the rules of the convention and any weapons will be peace bonded too.

Its been a few months since i ordered my badge, where is it?
That depends. Badges are printed in batches, so if it is a vip badge or child (not youth) it may have not been printed yet.
However, things that will cause your badge not to be printed or mailed, are:
1: wrong or missing info (ex, somebody used Nov 31st as their birthday, there are only 30 days in Nov)
2: typo in your mailing address (ex, 1345 se 14th st, but you live at 12345 se 14th st), the post office may return it to us.
3: incorrect personal info / aka your real name is a characters name. (ex, 5gen as a legal first name)
If there is an issue with your information, every reasonable effort will be used to contact you to update your info, unless you are under 18, in which case we will try to contact your parent or legal guardian first.

FYI, If you must have your badge and there are issues with it, (over 3 months) contact Registragtion@kumoricon.org otherwise it will be available at WILL CALL the day of the convention.

If you have paid for the convention, we will make sure you get in to the convention

I am staff this year, will i receive my badge at con or before?
Last i was told, it will be at con. This is to ensure that if you sign up for staff, that you report in at con.

Attention VIPS:
I'm a VIP. It rocks!
So all of my friends were bragging about their badges and I still hadn't got mine.
Well, after emailing the big people, I was informed that VIPS will not recieve their badges in the mail because of all the stuff we get with it. There is no need to worry, because VIPS can skip the line for will-call too!

Having extremely long badge names will sometimes delay the printing process

It actually takes us more time to print large badge names due to how our software works, so we move those to the end of the queue to take care of them all at once.

Mail outs stop on August 1st.
Therefore If you register after Aug 1st 2010 your badge will be available at WILL CALL.

Any Badge Ordered (ONLINE) Before June 28th at 9am, were printed. All "Mail in" orders should be processed by now, however, I can not guarantee this as we have no control of the US MAIL.

If you have Badge 380 to 620, an email was sent out to you. Due to an error in the registration database, a few badges were mailed to the improper addresses. If you received the correct badge, or received the incorrect badge but has since then received the correct badge, please disregard the email.

If you did not receive the correct badge (somebody else's name on it), your badge will be held at will call. Please check the second email for clarification on this.

When you register for the convention, Remember, it may take 6-8 weeks to receive your badge.

We are volunteers and meet twice a month for mail outs.

Please allow us time to send it to you, Remember Pre_reg ends Aug 15th, and if you register after Aug 1st it will be held in will call (the pre reg line)

o wow they finally did respond to my email and i sent in my payment and they said they didnt get it so i guess im not going to con this year because thats like 80 dollars i wasted and i dnt get money like that to be throwing it away but i dnt blame anyone its coo lol

Unless you sent cash (which you should never do), then you can cancel the check or if you paid through online registration then it can be traced. Please make sure to follow up on this, as unless cash was sent it shouldn't be money lost.

If it's a USPS money order, you have some options if you have the receipt:

Policies for money orders from other sources vary.

However, if you are going to replace it and send a new one, you should let the registration team know, and perhaps they can advise on the best course of action (I'm not within the registration team). If for nothing else, so if it turns up later, they don't try to redeem the prior money order.

If you have misplaced a badge that you got from pre-reg will you need to order an entirely new one? Or do [whoever is in charge of registration, etc] already have my info and I can just get a new one mailed? (Edit: Either mailed or pick up replacement at con.. bluh 6am )

If you order it by the end of today, yes.

Any Badge ordered after today, will be held in will call. The will call line will be in the Pre-reg line.

Basically if you pre-registered, regardless if you have your badge or not, you need to check in, in the pre-reg line. You are not required to have your badge until you check-in. If you pre-registered and have not received your badge yet. The final mailing will be today.

ok, i ordered my pass a while ago, and i already have it, but a week after that, i ordered 2 more passes for my friends and they still haven't come? all three were ordered in july, so i was just wondering if i should be worried, or if you've got everything under control.... i much prefer the latter

Everything is under control.

It takes awhile for the mail to reach me. The closer to con, the more often it is checked.

The way Mail works:

Usually somebody or the treasurer picks it up, then the forms are scanned and logged as paid, if the check is properly filled out.
Once the forms are scanned, the treasurer notifies me to pick up a batch, this is usually done at McDonalds as we are 100% volunteer run.
Once I receive the forms, it is verified to have all its information and entered into the database. From this, we add in the online orders. Then I have to print all the badges for that batch, usually a 2 week time frame. We then have to match the badge to the envelope and double check all the information is correct before it is mailed.

The Issues (in my opinion):

Address are registered to the primary adults in the house, when an envelope with a child's name on it is mailed, the USPS likes to return it to us as, "Not Listed At This Address".Its sort of like a Spam filter for Snail Mail.

If you supply us with your physical address but have a different mailing address (Po Box), the USPS will return it to us as, "Address Insufficient", or "Unable to Forward".

If you fail to provide us with 100% of the information needed for the database, your badge# is flagged and the badge does not print.

All of these issues will cause the badge to be placed in Will Call, which is located at the Pre-reg check in desk. If you registered you will get into the con regardless if you have your badge or not, at check-in (As long as you cleared the treasurer).

Yes, you can bring it, but we have you registered. Please check in at the Pre-Reg check in desk where Will Call is located.
