2009 October 25!! Annual Meeting

The Annual Meeting of the Altonimbus Entertainment Membership has been scheduled for October 25, 2009, at 1:30 PM in the Pavilion Room of the Portland (Downtown) Hilton at the corner of 6th and Taylor.

Preceding the meeting will be a "Hotel FAQ" led by Dawn Hewitt, at 12:00 PM.  This will be a one-hour educational session about the relationships between conventions and hotels and why we do or don't do certain things.  There will be a 30 minute break between this session and the meeting.

We're still working on the location. We're aiming for the hotel but can't guarantee that yet.

Hold on--it'll be on the calendar later today. :) We've just barely solidified the date so it hasn't been updated in every place yet.

The dates have always been set by the board for the general and annual meetings.

There are certain restrictions, such as:

The Annual Member Meeting must take place between 18 and 90 days after the convention. (During the month of October is typical for this, in practice.)
Any official Member Meeting must be on a Saturday or Sunday.
The Annual Member Meeting (but not all meetings) must be in Portland.

You can read our bylaws for more details on this. (See section 10.B in particular, though parts of the bylaws outside this section may have an impact on the requirements.)

Ah right in the bylaws, was more a joke I'm sure you understood.  And their talks being phone calls of convenience.  Anyhow, month and a half away, that sure gives some breathing room and time to figure stuff out so that's cool.

I won't get off work till 2PM.  Hoping I can make it in time to throw my hat in for Promotions Manager again.  If I cannot make it though, how would I be able to throw my hat in for the position?

You can also have someone stand in for you, like be your avatar.  Just make sure they know how you want them to represent you.

Two questions.

1) If this is done at the hotel, is there some way to work with the hotel so that anyone attending the meeting doesn't get slapped with ridiculous parking fees. 

2) What if there was a new position that one wanted to introduce?  Where/how would one go about that?

You would let the relevant director know, after they are elected or appointed.

Since I have been rallying on the forums for this, I have a new issue/new position I'd like to have put to a vote;

The Independent Bag Check and the position being Head of Independent Bag Check Operations
(or something along that nature)

Do I go about submitting this directly to the Secretary, or should I also follow this up with figuring out who would be the person higher in the command chain who would have control over the Bag Check?
If you were gay, that'd be okay.

As someone with a few years of upper-level experience with Kumoricon, to me it sound like that would complicate things needlessly.  Sometimes splitting things out makes it harder.  There is a weird split in duties between Publicity and Relations, for example, and this makes things more complicated, not less.  

But, if you want to go forward with this you will have plenty of time to learn our logistics and structures.  We'd have to schedule special meetings to even try to get something like this passed before elections.  So, this would likely be a proposal for the 2011 con, not 2010.  In my experience, any idea that the staff take seriously, gets proposed at one meeting and not voted on until the next.

Oh, yeah, you can totally attend :)  It tends to be a looong meeting.  So, bring a book in case the ins and out of various issues wind up boring you.  You might be fascinated, who knows?  I was pretty overwhelmed by my first elections meeting :)

I parked less than a block from the Hilton for only $6 for the whole day on con Saturday (though I did have to move the car before 1 am). Parking is not as outrageous as I'd feared!

I was wondering if there were any chance the meeting would be moved to Sunday?
Last year I believe it started at 11. This year it's starting at 1. I am much relieved it is starting at 1. Much easier on those of us commuting from far away. Thank you!

If we have the meeting at Hilton, NikeTown parking is 3.95 all day weekends.

I would be happy if it moves to the 25th. Or the weekend (17th or 18th) before or the weekend after (we could have a Halloween cosplay party?). Is there any talk of moving it to earlier than the 17th? That would be pretty rough for me personally (and I think we have to give at least 2 weeks' notice, right?).

As awesome as it would be to have, first the staff meeting on halloween followed by a bitchin party, I have SERIOUS doubts that a lot of people would even show up due to other holiday plans.  However, maybe we could still have that bitchin halloween party.  Anyone want to organize one? Hehe, okay well i tried...

To bring up the parking issues with the con itself for next year, would it be at all possible to talk to lloyd center and see if they would allow us to use their outside parking area as a park and ride? I did that at my own risk this year and it worked out amazingly well, it would just be nice if it were possible to do that without any fear of being towed, and the max took me within 2 blocks of the hotel so it worked out that way too. Just a thought though.

I would be happy if it moves to the 25th. Or the weekend (17th or 18th) before or the weekend after (we could have a Halloween cosplay party?). Is there any talk of moving it to earlier than the 17th? That would be pretty rough for me personally (and I think we have to give at least 2 weeks' notice, right?).

The 17th/18th is the weekend of a Sakuracon meeting I believe, but may be wrong.

I'd like to see the meeting at the Hilton, but wherever is possible is fine too I suppose.

According Article 10 of the new bylaws, date and time must be announced at least 10 days in advance, and the location must be announced at least 4 days in advance.  Certain restrictions apply to when and where the meeting can be scheduled in order for voting (such as election of officers) to take place.

See Article 10, Section B, paragraphs 4 and 5 for details.

As someone who lives far from Portland and who frequently has weekend obligations (including spiritual practice), it is genuinely frustrating to have so little notice about meeting dates and locations and when those change. *sigh*

I guess I would like at least to know, if anyone knows, whether it is more likely that the date will no longer be the 24th, so that the meeting can be at the hotel; or if it is more likely that the date will remain the 24th, but the location will change.
Does anyone at least know which weekends are under consideration, or whether it is more likely to be on a Saturday or a Sunday?

That's logical, thank you. I asked because some of the CS staff live in Washington and have to get time off for meetings, and wanted to be selective to attend one at which they could sign up again. :)

The elections are always a special case when it comes to recording. I can't just leave the camera up the whole time. Since the candidates leave the room after their debate, the concerns and comments given by those present are confidential. Nobody is supposed to record them in any way, not even photography. The idea is that you don't have to worry about something negative being taken personally by the candidate and hurting your working relationship with them.

I Will have the video camera there for the first part of the meeting but I won't be filming the elections themselves because I don't want to put up with the hassle of the paranoid elections staff.

On a different subject, do you guys think that maybe this year we can have fewer people standing in the back yakking away when people get up and talk. You are distracting and disrespectful to the speaker.

Tom brings up a good point. Legally, the "Annual Membership Meeting" is not a "Public Meeting" and can only be attended by "Members". I would argue that the non-elections portions should be the only ones videotaped for the public and the announcement of the elections results.

Legally, the "Annual Membership Meeting" is not a "Public Meeting" and can only be attended by "Members".

Not... quite.

There isn't any such thing as a "Public Meeting" defined in Altonimbus Entertainment Bylaws.

Per the bylaws, Article 10, Section B, "3. All Members of Altonimbus Entertainment shall have the right to attend Membership Meetings."  This means no policy set by the Board can deny Members their right to attend Membership meetings.  It does not address whether meetings are open to the public.

There is no distinction between the Annual Meeting and regular meetings in this particular.  All have the potential to be closed except to Members. However, it has been our practice NOT to exclude the public from meetings.

Unless and until the Board sets a policy to close a meeting (or type of meeting) to the public, general attendance is not disallowed.

It is okay for non-members to attend.



If I remember correctly, attendees are technically members of Altonimbus, just members without voting rights.  Correct me if I'm wrong on this one, Jo.

I appreciate your concerns.  We'll be announcing all the particulars at the time of election once the details are confirmed with the Presiding Officer of the Election.  (And this is absolutely one of the items being addressed.)

Details which are NOT subject to change can be found in Article 7, Section D of the bylaws.

Yeah, they check our ID when we get our ballot.

Not necessarily.  The details currently being discussed are to check off names during ballot return.

Doing something a certain way in the past is often taken into consideration (we'd rather not re-invent the wheel), but it can't be assumed that we'll always do it that way.  I want to get a Policy and Procedure manual assembled to get things more consistent, but even then, policies and procedures can be subject to change.

I am comfortable saying that the ID will be checked even if it is changed. People should have their ID with them at all times anyways, it encourages the status quo.

However there is the controversial PROXY VOTERS, they don't have to bring ID for the people who are not present, just the signed affidavit.

Do we have proxy vote forms for this election yet?

People do that at their own risk... it would be natural to expect that we might check ID for voting since it is restricted to members.

While it may be extremely easier to check ID, you would allow someone that forgot theirs to just rattle off something that's on their registration form in regard to personal info only they might know, right?  Though I can see you guys not being organized enough to have a document like that on file with you, being how we are so small an organization.

We have the registration forms on file, but I don't know what the policy will be on forgotten ID. Realistically, it would be easier and safer to have somebody vouch for the person, than rely on registration info which isn't really secret as "passwords". I think it's a fair expectation that staff carry ID with them.

I honestly dont see why it's such a big deal to have some piece of
identification on you when you go do things like vote or board a plane
or this and that... would you want someone posing as you, who happens
to know things like your SSI # and you address and phone number, to
vote FOR you? Obviously you may not think K-con voting is so serious
someone would steal your identity, but that is no reason to be lax!

We just gotta keep things secure! Anyone who was at Random Panel

There are only a few votes that don't at least potentially have another candidate.  For all those that lack a second option I am at least personally satisfied with the candidates.  Congratulations to everyone, my self included, who is stepping up in support of what you care about.  Not just those running, but everyone attempting to attend and vote.

I have some tough choices to make tomorrow, but it's a tough that is good, for everything I've heard of the candidates is good, and I feel that it's likely a good decision will be reached in all outcomes.

I hope everything goes smoothly on the ride down; and even more on the heavy rain that's expected on the 3 hour drive back north.

um I would be careful how you word things, because saying that Michael was just making other people look good is very insulting to Michael. I would just like to speak in defence, that he is a very capable staff, and when ever I have had a question for him I got  a curtious answer.                                                    now what i like to think is that the board members we have are just Po perfect for their positions that its hard to even hard to think of anyone else for the positions

Also, Triumph never required opposition, basking in glory merely takes a self pride that
recognizes an amazing or well earned status. Clearly our Board is amazing and certainly
earned their place.

Well, that was my first time in quite a while in front of a large audience.  It also doesn't help that I'm not terribly charismatic and most of the questions were about things everyone knows publicity does (the publications/relations) thanks to my on the spot outline of the few things that I would be doing before asking other departments any areas they could use help in streamlining communications and information tracking.  Plus my opponent has been a manager/coordinator/assistant director while I consider my self to have had far less direct responsibility.  Usually just trying to help make things flow more smoothly.

By the end of the debate even -I- was sure that I wouldn't be voting for my self; I really felt she would be able to do what was best for the convention, and she really was the first (and only name at that moment) on my list for someone to delegate all the things I had no clue about operating.  Which is why I wanted to make things quick with a vote by acclimation instead of dragging things out any longer than they really needed to be.

If you went to your first meeting and saw all the opponents dropping out by suggesting a vote by acclimation after a debate, wouldn't you think that the whole reason for them running was just to make their opponents talk more about their background and how they run things?

Actually the secret plan is to run an Adult AMV contest comprised of two sections.  A section for 18+ but without actual porn (but anything right up to the line works) revolving around max Ecchi (with FF, MF, MM, and other categories), 'make me (the judges/audience) puke', Insanity, and "It doesn't fit".  The post 12PM section would be the Hentai versions of the prior categories.

Hidden just before the start of each AMV would be a small subliminal blip; programming, like Join the Marines, or watch Black Lagoon.

Actually I have been considering running an Adult AMV panel like this since Guy was mentioned something about wanting to get away from running something like that, but that he'd still like a place for those to go.

I did forget two notable categorys, perverse humor and 'This may scar you for life'.

I figured the pre midnight section would be 18+ or parental supervision required; but not carded.  Everyone would be purged from the room, and then allowed back in while being carded/age verified.

Actually the secret plan is to run an Adult AMV contest comprised of two sections.  A section for 18+ but without actual porn (but anything right up to the line works) revolving around max Ecchi (with FF, MF, MM, and other categories), 'make me (the judges/audience) puke', Insanity, and "It doesn't fit".  The post 12PM section would be the Hentai versions of the prior categories.


Hidden just before the start of each AMV would be a small subliminal blip; programming, like Join the Marines, or watch Black Lagoon.

I figured the pre midnight section would be 18+ or parental supervision required; but not carded.  Everyone would be purged from the room, and then allowed back in while being carded/age verified.

I love it Michael but can the after 12 section have alcohol permitted in the room? that would be great but may at the same time cause an issue, everyone gets drunk watching hentai and then tries to act it out. hmmm Yea definitely have alcohol.  :D

Does anyone have a rough guess when the next meeting will be yet? I was on the other side of the country, but I really want to free up time for the next one.

Before you flame me, please note that I'm only asking if a rough guess is possible - i.e. even "mid-December" or "some time next year" would help. (Heck, even knowing when we might know when would help.) I know it's extremely unlikely that anyone knows that it'll be set for 31 February 2010 at 0700 hours Universal Standard Time, actual discussion to start at 0752 and end at 0903, meeting to conclude at 0926.

Okay, now you can flame me if that's still unreasonable. (^_^)

We've been lucky enough to get a November meeting sometimes but I would estimate mid January. Usually the board has a "Drink the Kool-Aid" retreat in December where they party and scheme out plans for the new year.

The exec retreat need not happen before the first general meeting for the next convention.

And finally... either Jo or Beau (forgot which) announced at the October meeting, that the next one was not scheduled, but would be sometime in November. So although plans can change... I'd say it's a pretty likely bet.
