Saturday, August 11th, we are going to put on a little shindig to complement our next general meeting. We have three rooms of space, all day Saturday, and - besides using one of the rooms for stuffing the envelopes for the tier 3 prereg badge mailout (8AM-2PM) and for the general meeting (same time as usual, 2PM-5PM) - we will fill the space with video games, karaoke, AMVs, anime viewing, and whatever you guys feel like trying to cram in! Everything starts at 10 AM and continues through 10 PM at least, although we will stop things for general meeting formalities.
For us this is a chance to to work the kinks out of our untested systems before the con, so please be patient if anything goes wrong. For you, we hope this will be a chance to relax and have fun and enjoy what we can offer.
Anyone who already has a badge or is registered as staff can attend this little event for $5. Anyone who doesn't have a badge or isn't signed up as staff as of before the meeting can get in for $10. We are accepting manga for a generous discount of $5 off your entrance - that means if you have your badge and you have a manga you get in at no additional cost, or if you don't have a badge but you brought two books, you get in free!
(We are only accepting manga to supplement our library for Kumoricon so please bring some cash just in case we already have too many of whatever manga you bring and cannot accept yours. Please no NewType or Monthly Shonen Jump.)
We will be deploying our new registration system at the door, but we will only be able to accept cash or checks (or manga).
You can attend the general meeting and the envelope-stuffing at no charge, but we will be asking to see your admission at the doors of any other room.

Oooh, which three rooms do we have?
I wanna do some karaoke in one of the rooms. We should have one big theater room, another video game room, and then the room where the meeting is can be the con suite/vendors hall.
I think that the swag booth should be set up so that I can hang out with Antares for awhile and find out what kind of stuff I need to prepare the Pocky Clubbers for.

We have Heritage A, Heritage D, and Cedar. So it's going to be a little goofy of a layout. Unfortunately the summer is full of all kinds of events we have to compete with so those are the breaks. But this is all intended to be an ad-hoc event anyway. ;D

Wow, that is a weird room layout! So.... video gaming in Heritage D and the "main stage" in Heritage A and Ops in Cedar?
I think Jaz meant she wanted to know if there were issues of specific manga series missing so she could help fill in the gaps.
How many Pocky Club people will be able to make deliveries at the minicon? Remember, you'll get volunteer hours (but not if you make a single delivery and then leave :P).

This turns out to be fortunate for me, because since I am not allowed any more time off and have to work 8a-2p in Eugene, I was worried that by the time I got to the hotel, even the Programming submeeting might have ended. This way, I can hope that at least some of the primary Programming staff will still be at the hotel for the mini-con, and I can be caught up on any pertinent conversations, planning, scheduling, etc., that I might have missed in my commute. Right, Programming folks?? In addition, it sounds like a lot of fun.

We should only need one poster or projector in the entrance/registration are displaying the locations of the 3 or 4 rooms. That should be enough for this event. People will see the big poster and remember where to return to if they want to check anything.

I'm sure it'll be clear enough when we're there, the screens will display the rooms we're in. I meant for the benefit of the planning staff and the volunteers who show up for the envelope stuffing.

I tried using the forum's announcement system to email the Mini-con announcement to all the forum accounts. However, I'm not sure it was successfully sent, because I talked to a couple people who didn't get it. However, I know one that did.
Did anybody receive this by email at about 12:30am this morning? (Note: Once about 3 people have responded saying they did (or didn't), no need to flood the thread with any further replies to this question. ^_^)

Heritage D - gaming
Heritage A - Karaoke and we have to squeeze in registration here, unfortunately. Also mini-con will stop from 2-5 to hold the general meeting here.
Cedar (upstairs) - envelope stuffing and later on, video room.
I don't know where Programming wants to try to put AMVs yet. I'd suggest Cedar and definitely not Heritage D.

Oy, we will have a pair of Japanese students August 1 - 14... and we won't know whether they're otaku or not until we meet them. If they're not otaku, we may not be able to go to the mini con because they'd be too freaked out about it and wouldn't want to attend. We will try our best to get there at least for the meeting (even if we have to dump them at the Vancouver mall during the time we're at the meeting). :-\

We won't have everything ready, the whole setup that we're going to have at the big-fancy-awesome Convention isn't complete yet, but we will have treats and hopefully we will have enough of them!!
We're going to bring lollies to give out for free, too! (I am also super excited we are in the Kareoke room....I love watching Karoke!)

The plan is to have an AMV show at some point after the meeting since that's where the screen will be set up. By that point all of the envelope stuffing stuff will be cleaned up.
I suggest posting any viewing requests btw.

2 Hard Dance Pads
Please do not bring your own systems, as we will not have extra TVs.

Hey guys - nobody working on setting this thing up that I have talked to is keen on the idea of setting up before 8 AM. I don't want anyone to expect that setup will begin before 8 AM. In fact, we are probably going to push the start time back to 10 AM just so we don't disappoint any early birds. Was anyone planning on arriving at 8 AM anyway?

Oh yeah, the envelope stuffing event will start at the same time. It's just the rest of Mini-con that won't officially start before 10 AM. So our staffers can breathe while they set up the gaming and sound equipment.

What I really want is to try to learn how to play that awesome looking Harry Potter & the Order of the Phoenix video game. Though quite seriously the only thing I ever played was one of the early Nintendo Mario Brothers (and of course Atari & Pong & stand-up games like Pac-Man and stuff before that) I am woefully uneducated in the ways of gaming.

Help! I'm still confused finding my way around the forums, sorry! I keep looking for that list of manga we should NOT bring on Saturday. Does it exist somewhere?
I'm waiting for it to post a reminder to an anime mailing list, and it's now the day before the Con!
So I need the URL of the list... or if short, just so I can copy and paste to send to others. I'm not alone in having extra manga, and we'd like to know that what we bring Saturday will be wanted!

Yes, we will accept shounen-ai, even if it's not totally innocent ;). If there are any titles that we feel aren't acceptable for general reading, ie adult content or too violent, we will come up with an alternate way of making them available to people.

so um, maby a week or so before the con, we can all post pictures up of ourselves?
i say a week so that no one gets a haircut or changes their look anytime soon.

There was some talk about having another mini con at the last one. I forget who mentioned it at the meeting we had there but I was excited to hear that idea :o
