The original thread for the Axis Powers Hetalia Photoshoot got too big, since we kept planning more things XD the information got lost so I'm making this thread to help keep the official planning clear and organized and easy to locate.
Thus far we have:
The Potluck: Friday Evening/Night. The time and Location have yet to be decided.
Nation-tans bring dishes from the nation they are portraying (or there-about), non-nations, bring your favourite dish.
The Photoshoot: Sunday at 12:00 Noon.
Please Note: Time is tentative though we prefer to keep it earlier rather than later that day.
The PJ Party: 9 pm Saturday (?)
A Hetalia Panel, PJ's prefered, Non-nations welcome though Hetalia will be the focus.
All of the following topics are meant to be discussed here, clearly and organized. Please stay on topic and keep posting to a minimum.
We would love to hear your opinions, as the purpose of this thread is to further plan these events and do our best to insure everyone has as fun a time as possible.

Ah! Thank you! That's a very good idea, I'm not sure how much info will be needed form each person but a roll call would definitely be nice to have!
Ill keep the list running here, and update it from this post as I would like the keep the original post as short and simple as possible.
I suppose first I'll organize it by country, and then write the username, or prefered name of the person cosplaying them. Doubles will be listed individually and updated as frequently as possible.
This list will also be used to know which countries are represented and which are open, or have no one cosplaying them.

i believe the time we decided on for the picnic was that around 4 and would last till around 6 just in case any late comers came around. Since Hashi's no longer in charge, I've taken over the list and I'll be updating it from now on. Keep on posting, nation-mun!
HETALIA EVENTS: (I'll be keeping this up to date, so refer back here every so often.)
Friday: APH Potluck, 4 PM to 6 PM. Bring some food from your nation and get a decent meal before the con starts! Location pending. Either Pioneer Square or Pioneer Place (the mall right nearby) depending on the weather. Edit: We humbly request that you label your dishes with the name of the dish and country it comes from.
Saturday: PJ Party, 9 PM to 12 AM. Come play silly games, listen to Hetalia songs, maybe dress as the PJ version of your nation?
Sun: Photoshoot, 12 PM at the South Park Block on Salmon and Park. If you need a guide to get there, Austria (me!) will be collecting people in the hotel lobby at 11:50 AM.
More edit!: After the photoshoot we'll be shooting a submission for the Where is Hetalia? project. This mostly means you guys get to dance around in front of a camera for under a minute. It'll be fun!
Non-nations welcome at all events.
If you've made changes to your costumes, please quote your original roll call post and tell us about the changes underneath. That'll help keep the list from clean of old/not in use costumes.
This list will also be used to know which countries are represented and which are open, or have no one cosplaying them.

I was just wondering, would you guys mind me coming along to some of the events if I wasn't going to go to the actual con? I'm beginning to consider cosplaying as fem!germany (from this picture (http://i6.photobucket.com/albums/y217/hyperpunk92/2009-06-21-172213.png)), but I doubt I'll have the money by then to be able to go to the actual convention (BOO BEING POOR SUCKS BOO). <333 But I'd still love to hang out and get pictures! I love this fandom so mooooch. And I have no other friends who are fans. So peh. I could totally chill and stuff but most likely not go to the con. Unless I actually save my money.....which is a small but still available possibility.

The panel and photoshoot are official Kcon events, so you can't really participate in those, but you're welcome to come to the potluck. Especially if you're doing fem!Germany, 'cause that's gotta be adorable. <3

All right, opening the thread for actual planning!
I'm gonna assume we still want Sunday at 12 for the photoshoot, so does anyone have preferences/suggestions for the location?

I vote Pioneer Square Park for the sake of better lighting and (hopefully) less people. If not, a less-crowded place in the Hilton would be okay, but I have no idea where that would be. The park is probably our best bet.

The South Park Blocks are only about three blocks from the hotel, and there'd be more pretty greenery and less bystanders there.

Voting for Park Blocks. They're close, pretty, and probably... Uh, hopefully, won't be too crowded with people. And if anything, we can walk farther toward PSU if it's too crowded until it thins out a bit.

Sunday sounds good. And I vote for a park. The shoot is prettier that way.

So I headed over to the South Park Blocks today and wandered up and down them a bit looking for a best location. The block that's closest to the hotel is a big open square with trees all around. It's very pretty, but the trees block out all that photo-improving sunlight. The other blocks are mostly grassy, which might be a problem because of possible grass stains.
I suggest the first park block over Pioneer Square because there might be some kind of city event there. There's always something up at the Square. At the park we can intimidate people out of the way, and the trees'll give up shelter if it rains.

I vote for the pioneer square as well, lot more memorable place for people to meet since i would think people would know where it is.
And I ha question bout Panel.. how is it gonna be set up?? like just a table up front for the leaders of the panel then chairs everywhere, or would there be just empty space with still table up front for equipment and what not.. and whats the offical stuff we're gonna do too? hah, we should have a contest for the best pj put togetherness cosplay sorta thing xD

Now I'm torn. The Park Blocks would be a better place as far as area, but I also worry about people not being able to find it/not wanting to put forth the effort. Pioneer Square will be easier to find for non-Portlanders, but certainly a less ideal place as far as crowds and scenery. :x ...I think I'm gonna vote for Park Blocks, though (sorry KyoKyo D: ). Also, even with the tree cover and cloudy skies, the light should be fine. Any outdoor lighting is better than indoor in most cases. : P
@KyoKyo: Even though the PJ Party is in the Panel category, it'll actually be more of a party as opposed to a panel/audience setting. There'll be games and other fun activities. (feel free to correct me if I'm wrong, Demy, Malaria)

Pioneer Square might get really awkward. There are always street preachers there. ><
That's the plan! Fun and games, without much in the way of structure. Demy was supposed to get an email from the organization lady about the specifics of our room and time, which'll give us a good idea about our limits. I can't remember if she did or not. -Best organizer ever, really.-

thats okay for the park blocks.. i'm not familiar with that part of Portland (i dun visit there much sinc ei'm 3 hours away) so i'm good withwhatever we can.. and having someone to guide over would be a rele good idea malaria.

Kyo: I'm totally okay with gathering people beforehand and taking them to the park.
I wanted to do Risk, but I don't have it and neither does Goatchild. If one of you can bring it, we'll play stupid Hetalia risk, and I'm bringing Apples to Apples. If we can get speakers, we'll play background music and generally goof off.
Lit: I would. No need to cause conflict when you can avoid it. Especially since my school is downtown.
The potluck is from 4-6 on Friday, either at Pioneer Square or Pioneer Place (the mall) depending on the weather.
Saya: Do Germany for the shoot! There's never too much Germany, especially with all our N Italy.

never played risk or apples to apples before xD so i know i wont be responsible for much~ and i think with what people we got, we can easily get speakers.. charrie songs ftw :D and i'm bringing my lappy with me on this trip and it has all the soudtracks on it so i can easily extract data of songs if certain people dun have it :3
and thanks for the reassurance for the potluck xD but should we have something up for the potluck just in case people cant exactly figure it out where it is? like a red flag or something to tell its there ike in the mall or square? *overcaution for first time in area xD*

Apples to Apples is really fun with the right people.
The Square's a super wide open space, and also one of the most recognizable points in the city, so if it's there you'll be able to see us. If it's at the mall, I'll write detailed instructions for how to find us.

A park does sound good, even if I don't know about the particular park. As long as it's in a pretty nice area of town and not too far away from the hotel, it's all good. Twelve on the Sunday would be a good time to keep, as well. How long are we going to be photographing? Anywhere around 1-3 hours, d'you think?
Yeah, I think we're going to want to stay away from street preachers. Just because of their occasional salesman-like qualities. -.-;; XD But who knows, they're Portland street preachers. You never know what they'll do. Lit may be right. *comes from the Southern Bible belt to a far left state*
Yeah! Apples to Apples is very fun with the right people. It's pretty cut and dry, KyoKyo, don't worry. You can understand the rules in depth in like, 20 seconds. Now, Risk, on the other hand, I've only heard of once. I have no idea what that is. : D

Perhaps we could set up a little (somewhat privatized) directory of e-mail addresses and cell numbers of other Hetalia cosplayers who are attending the events? Closer to the con, of course, and optional for those who would supply their contact info -- but that way if someone ends up lost or wondering where anyone's meeting up (this is, of course, during the con) then we can try and help out.
If this hasn't been suggested already, of course. XD

I am bringing speakers and my laptop with all of the Hetalia music on it to the PJ Party Panel, and possibly to all of the other events (because I love you all that much : D).
I don't have a microphone for karaoke at the panel, but I think it'd be funnier if we just had one of those cheap Dollar Store plastic microphones. If we want, we can all get together and invade the karaoke room for people who want to do decent karaoke. XD

Now for a question that I don't think has been asked: If the picnic is in the square and not the mall, should we bring blankets? And how many? Should Malaria and I just bring blankets, or do people want to volunteer? Or do we not want blankets cuz it's too much trouble/we're hardcore like that? : P
And this is more a request than a question, but can people bring labels for the food they're bringing? It doesn't need to be fancy, but just something saying what the food actually is and what country it's from (or not if you aren't bringing a country-specific dish). I can also bring a few cue cards if people forget. It'd just be cool to see where each dish is from and what it is. :3

The list is color-coded by who's attending which events, so that should give you a good idea of about how many people are attending each event. I'd add a few to your final tally, since not everyone is on the list for lack of me having a name to add them by.

So far the forecast doesn't say rain for Friday, or any day Labor Day weekend, so we may be fine in the square. You're right, the mall probably wouldn't like us bringing in lots of food, but they might grudgingly allow us to stay if we buy some foodcourt food. We'll just have to see what happens if it comes to that.
As far as how much food to bring, it depends on how okay you are with having leftovers. If you bring enough for everyone, it probably won't all get eaten since there will be other food and not everyone will want some of everything. So if you don't want leftovers, don't bring too much. I personally will bring a lot of potato pancakes because I know I'll gladly eat the leftovers for the rest of the week. :9

As for the car situation, eventually a supervisor came and it all got straightened out. I'm quite glad about that. :D

I think that the police must have contacted the building owners. I'm not sure if the security guard wasn't just stuck because of the keys issue(For those that didn't hear: They remove the keys of the cars in the lot on Friday night and bring them back the next operations day, which, being labor day, is tomorrow.) meant we had to contact someone extra too. I am just glad it all got sorted out without us needing to resort to begging for money to put the group up for the night again.(Although, if anyone could have done it, it would have been us. :D)
